We are looking for a proactive and detail-oriented Operations Manager to oversee the day-to-day functioning of a premium coworking and managed office space environment. This role is focused on delivering exceptional workplace experiences through operational excellence, hospitality-driven service, and efficient facility management.
The ideal candidate will bring strong operational discipline, people management capabilities, and the ability to build scalable systems in a fast-paced startup environment. You will play a key role in ensuring smooth workspace operations, high member satisfaction, and efficient coordination across teams and vendors.
Requirements
Key Responsibilities
Workspace & Facility Management
- Ensure all infrastructure, workspace facilities, equipment, and assets are properly maintained through regular inspections, SOPs, quality checks, and preventive maintenance.
- Oversee housekeeping, security, valet, and support staff operations to ensure smooth daily functioning.
- Maintain a safe, secure, and comfortable work environment by implementing safety protocols and downtime procedures.
- Manage amenities and operational services including pantry operations, tea/coffee services, power backup, IT coordination, and inventory management.
- Monitor stock levels and ensure timely replenishment of supplies and consumables.
Cross-Functional Coordination
- Coordinate with the Sales team for workspace tours, client visits, and onboarding activities.
- Maintain accurate lead documentation and CRM updates.
- Collaborate with Accounts teams for invoicing, billing, and payment tracking.
- Work closely with IT teams for maintenance support, troubleshooting, and outage management.
- Manage vendor relationships, contracts, procurement, and supply chain activities.
Operational Cost Management & Billing
- Monitor operational expenses and drive cost optimization initiatives without compromising customer experience.
- Identify and onboard cost-effective vendors and service partners.
- Prepare monthly operational reports, budgeting analysis, and expense tracking dashboards.
- Ensure timely invoice generation, collections, and payment follow-ups.
Member Experience & Community Management
- Ensure seamless onboarding experiences for all clients and members through structured processes and checklists.
- Collect, document, and track customer feedback for continuous service improvement.
- Plan and execute member engagement initiatives, networking events, and community activities.
- Manage issue-resolution logs and ensure timely escalation and closure of complaints.
- Support hospitality-focused initiatives that enhance workplace experience and community engagement.
Revenue Optimization & Data Management
- Track daily occupancy and manage space inventory efficiently.
- Support revenue growth through additional services and value-added offerings.
- Drive high member retention and renewal rates while minimizing churn.
- Maintain accurate and confidential client records within internal systems and CRM platforms.
