The Benefits & Leave Management Administrator is responsible for the day-to-day administration and coordination of employee benefits and leave of absence programs. This role serves as a key operational support to the Benefits Manager by ensuring accurate processing of benefits transactions and administering leave programs in compliance with company policies and applicable laws. The Administrator acts as a primary point of contact for employees regarding routine benefits and leave inquiries and supports documentation, reporting, and vendor coordination.
DUTIES AND RESPONSIBILITIES:
- Administers daily benefits processing, including new enrollments, status changes, and terminations in HRIS and vendor systems.
- Supports administration of employee benefit programs including medical, dental, vision, life insurance, disability, HSA/FSA, COBRA, and 401(k).
- Coordinates and administers employee leave of absence programs, including FMLA, workers’ compensation, ADA accommodations, and other applicable leaves.
- Tracks leave cases, maintains accurate records, and ensures timely communication with employees, managers, and third-party administrators.
- Assists in ensuring compliance with federal, state, and local regulations related to benefits and leave administration.
- Responds to employee inquiries regarding benefits and leave policies, escalating complex issues to the Benefits Manager as needed.
- Prepares and processes required documentation, including enrollment forms, leave notices, certifications, and return-to-work documentation.
- Maintains and updates benefit and leave administration procedures and documentation.
- Assists with benefits orientation for new hires and open enrollment activities.
- Coordinates with benefits vendors and third-party administrators to resolve routine issues and ensure accurate data exchange.
- Audits benefits and leave data for accuracy and assists with reconciliation of billing and premium reports.
- Supports preparation of compliance filings and documentation (e.g., 1095-C forms, leave reporting).
- Generates standard reports related to benefits and leave activity for internal use.
- Maintains confidentiality of employee records and sensitive information.
- Performs other HR-related duties as assigned.
