Role Overview
We are seeking a highly organized and proactive Executive Assistant to the Managing Director who will play a critical role in supporting strategic and operational priorities. The ideal candidate will act as a key coordination point between the MD, senior leadership, and external stakeholders, ensuring seamless communication, efficient scheduling, and timely execution of tasks.
This role requires discretion, strong organizational skills, business understanding, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Executive Support
- Manage the Managing Director’s calendar, meetings, travel, and appointments.
- Prioritize and coordinate internal and external meetings, ensuring optimal time management.
- Prepare meeting agendas, presentations, reports, and briefing documents for the MD.
- Communication & Coordination
- Act as a liaison between the MD and internal teams, board members, investors, and external stakeholders.
- Track action items from meetings and ensure timely follow-up with relevant departments.
- Handle confidential communication and documentation with high discretion.
Business & Strategic Support
- Assist in preparing business reports, investor communications, and strategic documents.
- Support coordination of board meetings, leadership meetings, and corporate events.
- Monitor progress of key company initiatives and provide updates to the MD.
Administrative & Operational Management
- Maintain records, documentation, and key corporate correspondence.
- Coordinate travel arrangements, itineraries, and logistics.
- Assist with vendor coordination and external stakeholder interactions when required.
Qualifications & Skills
- Bachelor’s or Master’s degree in Business Administration, Management, or related field.
- 5–10 years of experience as an Executive Assistant or similar role supporting senior leadership.
- Excellent organizational, communication, and time management skills.
- Strong proficiency in MS Office, presentations, and business documentation.
- Ability to handle confidential information with professionalism.
- High attention to detail and ability to manage multiple priorities.
Preferred Attributes
- Experience supporting CXO-level executives.
- Experience in listed companies, infrastructure, or engineering sectors will be an advantage.
- Strong problem-solving ability and proactive work style.
