This role combines data entry with administrative oversight to ensure office operations and documentation processes run smoothly.
1. Job Summary
The Coordinator is responsible for converting handwritten or digital drafts into polished documents while managing the flow of information between departments. This role requires a blend of technical typing proficiency and strong organizational skills to keep projects on schedule.
2. Key Responsibilities
Typing & Documentation:
- Data Entry: Transfer data from paper formats into computer files or database systems with high accuracy.
- Transcription: Type out dictated recordings or handwritten notes into reports, correspondence, and forms.
- Editing & Proofreading: Review completed work for grammar, spelling, and punctuation errors, ensuring all documents meet company formatting standards.
- Archiving: Maintain a digital and physical filing system to ensure documents are easily retrievable.
Coordination & Administration:
- Workflow Management: Act as a central point of contact for document requests, prioritizing urgent tasks to meet deadlines.
- Meeting Support: Schedule meetings, prepare agendas, and take minutes to be distributed to stakeholders.
- Resource Coordination: Liaise with different teams to gather necessary information for reports or projects.
- Communication: Handle incoming inquiries (email/phone) and route them to the appropriate personnel.
3. Skills & Qualifications
- Typing Speed: Minimum of 50–60 WPM (Words Per Minute) with high accuracy.
- Software Proficiency: Expert knowledge of MS Office Suite (Word, Excel, Outlook) and document management software.
- Attention to Detail: Ability to spot minor errors in large volumes of text.
- Organizational Skills: Capable of multitasking and managing time effectively in a fast-paced environment.
- Communication: Strong verbal and written communication skills for effective internal coordination.
4. Preferred Experience
- Previous experience in a clerical or administrative role.
- Familiarity with office equipment (scanners, printers, and multi-line phone systems).
- Graduation / High School Diploma or equivalent; additional certification in secretarial studies is a plus.
- Writing and Reading Punjabi and Hindi is a plus
