Job Summary
We are seeking a proactive and detail-oriented Assistant Manager – Purchase to manage procurement operations, vendor coordination, purchase planning, and logistics activities across projects and service requirements. The role involves ensuring timely material availability, cost efficiency, accurate documentation, and seamless coordination between internal teams, vendors, and project sites.
Key Responsibilities
1. Procurement Management
- Handle procurement of electrical, mechanical, instrumentation, and automation components.
- Process purchase orders based on approved material indents and requirements.
- Source materials such as equipment, cables, accessories, consumables, and project-related items.
- Plan procurement activities in alignment with project schedules and operational needs.
- Assist in fund planning related to supplier payments and procurement expenses.
- Develop and manage Rate Contracts (Annual/Project-based) with approved vendors for frequently procured materials and services.
2. Project Purchase Coordination
- Review material indents and coordinate with engineering and project teams for clarifications.
- Track ordering status and ensure closure of pending purchase requirements.
- Support costing updates based on market price fluctuations.
- Ensure timely availability of materials for ongoing projects and site execution.
3. Vendor Management & Logistics
- Coordinate with vendors for material readiness, dispatch schedules, and documentation.
- Arrange logistics and transportation for material dispatch to project sites.
- Negotiate transportation and freight charges where applicable.
- Monitor shipments and follow up for timely delivery at sites.
- Maintain strong relationships with suppliers and service providers.
- Negotiate pricing, delivery timelines, and commercial terms including long-term rate agreements.
4. Billing & Documentation Control
- Verify supplier invoices and coordinate submission to accounts for processing.
- Maintain purchase bill tracking records and ensure timely documentation.
- Verify packing lists and match materials with delivery documentation.
- Support approval processes through ERP or purchase management systems.
5. MIS, Planning & Reporting
- Maintain procurement MIS and project material status reports.
- Track dispatched, delivered, and pending materials.
- Prepare periodic procurement and logistics reports.
- Assist in preparation of fund planning sheets and supplier payment tracking.
- Maintain supplier records and creditor tracking data.
6. Service & Operational Procurement Support
- Manage procurement requirements received from service and maintenance sites.
- Track daily material requirements and coordinate timely supply.
- Procure chemicals, consumables, tools, safety items, and testing-related materials.
- Coordinate repair, retrofitting, and trading-related purchase activities.
- Support purchase order placement and delivery documentation preparation.
Required Qualifications & Skills
- Bachelor’s degree in Engineering / Supply Chain / Commerce / Management or related field
- 3–6 years of experience in procurement or purchase coordination (preferably EPC, engineering, or water treatment industry)
- Strong understanding of procurement workflows and vendor coordination
- Proficiency in MS Excel and ERP systems
- Good negotiation, coordination, and communication skills
- Strong organizational and documentation abilities
Preferred Skills
- Experience in project-based procurement environments
- Basic understanding of electrical/mechanical equipment procurement
- Knowledge of logistics coordination and cost tracking
- Ability to manage multiple priorities and deadlines
