Role Description


The Assistant Manager –Finance and Accounts, Corporate Social Responsibility (CSR) will be responsible for managing and overseeing accounting & funds utilization reporting, ensuring compliance with statutory requirements, donor guidelines, and organizational objectives for the company’s CSR projects. This role involves coordinating with internal teams, external stakeholders, and donor auditors to ensure effective implementation, monitoring, and reporting of CSR projects.



Key Responsibilities

 

1.     Project Management

 

  • Plan, execute, and monitor CSR project accounting & reporting in line with company policies and donor requirements.
  • Track CSR project revenues, costs, GM and Funds Utilization; take complete ownership of preparation & reporting of Funds Utilization Certificates (FUC’s)
  • Communicate with CSR Program managers (PM) on a periodic basis for providing the project spend details including invoices, PO’s, vouchers etc.
  • This role should work closely with each PM to establish the appropriate process for FUC submission based on funder requirements. This includes creating the necessary tools and templates, as well as providing initial orientation and training to the program team, to ensure they can provide all fund utilization data & documents effectively and without errors.
  • Project wise reconciliation of expenses between Zoho Books/Tally and FUC Summary.
  • Reconciliation of vendor wise expenses payable from Zoho Books/Tally.
  • Project wise Cost sheet updating based on salary allocation as provided by HR

 

 

2.     Stakeholder Coordination

 

  • Act as the primary point of contact for donors, NGOs, auditors, and internal teams w.r.t. project accounting and FUC.
  • Facilitate approvals, documentation, and communication for CSR activities.
  • Address queries and provide timely updates to stakeholders related to Funds Utilization.

 

3.     Financial Oversight

 

  • Manage CSR fund utilization and maintain fund flow statements.
  • Prepare monthly provisions, budgets, and expense reports.
  • Ensure transparency and accountability in fund allocation.

 

4.     Documentation & Reporting

 

  • Prepare monthly/quarterly FUC reports for management and donors.
  • Reviewing and suggesting changes to the existing FUC formats used by the Management.
  • Suggest a few standard templates of the FUC with the Management keeping in view the requirements of the donors and the needs of the Management.
  • Provide the checklist of information / documents required for preparation of the FUC’s
  • Maintain accurate records including invoices, payment confirmations, and supporting documents.
  • Preparation of statement of Budget vs actual costs and expenses project wise on need basis, including adequate supporting for common cost allocation
  • Support statutory filings and audit requirements.

 

5.     Compliance & Audit Support

 

  • Ensure CSR activities comply with the Companies Act and donor guidelines.
  • Assisting in compliance with doner requirements as per the donor agreement.

·        Assisting in preparing and providing data for donors after due coordination with F&A team as well as other functions withing SVF. (Including Ledger extracts from Tally,/Zoho Books collating backup documents like invoices etc., summarizing all expenses data for the projects and responding to donor’s auditor queries).

 

·        Coordinating with relevant stakeholders to get donor audits completed in time bound manner.

 

·        Support any other matter related to donor compliance and / or program funds tracking (as required by SVF).

·        Assisting in preparing details related to SVF statutory audit with respect to FUCs.

 

  • Coordinate with SVF statutory auditors for verification of CSR expenses and stock counts.
  • Implement tools/processes (e.g., photo/AI-based reporting) to strengthen audit readiness.
  • Compliance of section 12AB and 80 G provisions of the Income Tax Act, 1961 : Preparing and filing of Form 10BD which requires furnishing of statement of donation received by SVF and issue of donation certificate to the donors in Form 10BE

 

6.     Continuous Improvement

 

  • Identify gaps in CSR processes and recommend improvements.
  • Collaborate with program managers to streamline documentation and reporting.
  • Evaluate integration of digital tools (Zoho, Tally, etc.) for efficient CSR management.

Qualifications & Skills

 

  • Qualified/semi-qualified CA, or Master’s degree in Finance, Social Work, Business Administration, or related field.
  • 4–6 years of experience in CSR compliance, or project/account management, having worked in an NGO/charitable organization/Trust/Section 8 Company
  • Strong knowledge of CSR regulations under the Companies Act.
  • Excellent communication and stakeholder management skills.
  • Proficiency in financial reporting tools and ERP systems (Zoho, Tally, etc.) as well as MS Excel.
  • Ability to manage multiple projects and meet deadlines.
