Job Description: Assistant Logistics Manager – Pharma Exports
Department: Export Logistics / Supply Chain
Position: Assistant Logistics Manager
Location: Noida
Reporting To: Logistics Manager / Export Head / Operations Head
Role Overview
We are looking for a responsible and detail-oriented Assistant Logistics Manager to support pharmaceutical export logistics operations. The candidate will be responsible for coordinating export shipments, managing documentation, following up with CHA, freight forwarders, transporters, shipping lines, and internal teams, and ensuring timely dispatch of goods as per international customer requirements.
The role requires strong practical knowledge of pharma export logistics, export documentation, shipping procedures, customs coordination, and shipment tracking.
Key ResponsibilitiesExport Shipment Coordination
- Coordinate end-to-end export shipments for pharmaceutical products.
- Plan dispatches as per customer orders, production readiness, documentation status, and shipping schedules.
- Coordinate with factory, warehouse, QA, regulatory, accounts, and export teams for shipment readiness.
- Follow up with freight forwarders, CHA, transporters, courier partners, and shipping lines.
- Track shipments from dispatch to final delivery and update internal teams/customers regularly.
Export Documentation
- Prepare, verify, and manage export documents including:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading / Airway Bill
- Certificate of Origin
- Insurance Certificate
- Export declaration documents
- Product-related shipment documents
- Ensure documents are accurate as per country, customer, LC, regulatory, and customs requirements.
- Coordinate for legalization, chamber attestation, embassy attestation, and other export formalities wherever required.
Pharma Compliance & Coordination
- Coordinate with QA/QC for COA, COPP, FSC, WHO-GMP, product specifications, batch documents, and other required pharma documents.
- Ensure shipment documentation aligns with pharmaceutical export requirements.
- Support handling of temperature-sensitive, special-condition, or urgent shipments.
- Maintain shipment records for audit, regulatory, and customer reference.
CHA / Freight / Transport Management
- Obtain freight quotes and compare rates for air, sea, courier, and road shipments.
- Coordinate with CHA for customs clearance and shipping bill filing.
- Follow up for BL/AWB drafts, final documents, vessel/flight details, and delivery status.
- Monitor freight cost, shipment delays, demurrage, detention, and other logistics expenses.
- Maintain vendor-wise performance, freight rate records, and service quality reports.
MIS & Reporting
- Maintain export shipment trackers and dispatch MIS.
- Update management on pending shipments, dispatch status, document status, and expected delivery timelines.
- Prepare reports on shipment cost, transit time, delays, and logistics performance.
- Maintain proper digital and physical filing of export documents.
Required Skills
- Strong knowledge of pharmaceutical export logistics and documentation.
- Practical understanding of customs, CHA coordination, freight forwarding, and shipping procedures.
- Good knowledge of air, sea, courier, and road export shipments.
- Strong follow-up and coordination skills.
- Good communication skills for internal and external coordination.
- Strong Excel and MIS reporting skills.
- High attention to detail in export documents.
- Ability to handle multiple shipments under timelines.
Qualification & Experience
- Graduate in any discipline.
- MBA / Diploma in Export-Import Management / Supply Chain Management will be preferred.
- Minimum 5+ years of experience in export logistics, preferably in the pharmaceutical industry.
- Experience in handling pharma export documentation, CHA coordination, freight forwarders, and shipment tracking is required.
Preferred Candidate Profile
- Prior experience in pharmaceutical exports to CIS, Africa, LATAM, ASEAN, or semi-regulated/regulated markets.
- Candidate should be proactive, disciplined, and strong in follow-ups.
- Should be comfortable working with cross-functional teams.
- Should have practical knowledge of export documentation, shipping terms, and customs processes.
