Job Title: Assistant/Deputy Manager – Admin & Operations

Reporting to: Senior Manager – Operations

Location: Noida (with travel as required)

Org: 3E Education Trust (an entity under Shiv Nadar Foundation)

Exp: 5 to 7 years


Key Responsibilities:

1. Operational Overview


·      Supervise daily school operations across all campuses, including housekeeping, security, facilities, and transport

·      Ensure adherence to SOPs and identify areas for process enhancement

·      Coordinate closely with school administration teams and vendors for seamless operational delivery

·      Support civil and infrastructure-related activities, coordinate repairs and maintenance, and proactively prepare CSQs for related works


2. Budgeting, Procurement & Vendor Management


·      Assist in monitoring operational budgets and expenditures

·      Support in implementing and tracking cost-optimization initiatives while maintaining quality standards

·      Support procurement processes—floating inquiries, preparing CSQs, and drafting POs

·      Review vendor invoices and coordinate approvals for payments

·      Coordinate with vendors for timely service delivery and quality adherence


3. Travel Desk


·      Manage and coordinate all domestic travel arrangements for employees in line with company travel policies

·      Ensure cost-effective bookings through proper cost comparison and analysis

·      Liaise with travel vendors and internal stakeholders to ensure seamless coordination

·      Maintain travel MIS, documentation, and expense tracking reports

·      Ensure flexibility in handling urgent travel requirements beyond regular working hours, when required


4. Data Management & Reporting


·      Prepare, analyse and present MIS reports related to operations and travel

·  Draft professional communications, circulars, and operational updates.

·      Support in preparation of PowerPoint presentations, reports, and meeting notes


5. Compliance & Safety


·      Ensure compliance with safety, health, and statutory norms across school campuses

·      Assist in conducting regular audits and inspections and maintain audit-readiness documentation to ensure readiness for internal and external audits


6. Issue Resolution


·      Track and manage daily operational issues with regular follow-ups, ensuring timely resolution, and assist in root cause analysis

·      Escalate critical concerns, ensuring follow-through on action point



Skills & Competencies:


·      Strong command of MS Excel, Word, PowerPoint, and email communication

·      Knowledge of school operations, procurement, transport, and compliance management

·      Attention to detail and proactive problem-solving skills

·      Working knowledge of ERP systems

·      Flexibility to manage travel needs beyond regular working hours when required


Qualifications & Experience:


·      Graduate / Post-Graduate in Operations, Business Administration, Hospitality, Travel & Tourism, or related field

·      5 to 7 years of experience in operations; preferably in schools, educational institutions, service industries, corporates

·      Experience in managing corporate travel desk operations
