Position Overview
The Research & Municipal Coordination Specialist supports residential surveying operations by conducting detailed land record research and coordinating with municipal agencies to ensure projects are set up accurately and in compliance with local requirements. This role focuses on gathering, verifying, and maintaining critical project information, helping reduce delays, rework, and compliance issues.
Working within established guidelines and procedures, this position partners with internal teams and external agencies to ensure all required documentation, jurisdictional requirements, and permitting considerations are clearly identified prior to project start.
Key Responsibilities
Land Records & Title Research
- Review deeds, title commitments, plats, and related documents to verify legal descriptions and property information
- Identify and document easements (utility, drainage, aerial, electric, etc.) and other recorded restrictions
- Compare multiple sources (title, plats, prior surveys, municipal records) to ensure consistency and completeness
- Flag discrepancies or missing information and escalate to appropriate internal teams for review
Municipal Coordination & Compliance Support
- Communicate with municipal agencies, permitting offices, and jurisdictional contacts to obtain required information
- Gather and document local requirements related to residential surveying, permitting, and construction standards
- Track permitting prerequisites, submission requirements, and approval timelines
- Maintain accurate records of municipal contacts, requirements, and communications
Regulatory Research & Documentation
- Research and compile municipal and jurisdictional requirements for new and existing markets
- Update internal systems and documentation to reflect current standards, including setbacks, easements, and permitting guidelines
- Monitor publicly available sources for updates to local regulations and notify internal teams of changes
- Organize and maintain a centralized repository of jurisdictional information
Cross-Functional Support
- Provide project-related documentation and research findings to surveying, drafting, and operations teams
- Respond to internal requests for information related to municipal requirements and land records
- Support project setup by ensuring all required research is completed and documented
Process & Data Management
- Follow established workflows and procedures for research and coordination tasks
- Maintain organized, accurate, and up-to-date records across systems
- Identify data gaps or process issues and communicate them to leadership
- Assist with process improvements and standardization efforts as directed
Requirements
Education & Experience
- Bachelor’s degree in Business, Geography, Urban Planning, Construction Management, or related field preferred
- 1–3 years of experience in administrative support, land records research, permitting, surveying support, or similar role preferred
Knowledge & Skills
- Basic understanding of deeds, plats, and legal descriptions preferred
- Familiarity with municipal processes or permitting is a plus
- Strong attention to detail and organizational skills
- Ability to follow processes and manage multiple tasks in a deadline-driven environment
- Effective written and verbal communication skills
- Proficiency in Microsoft Office and data tracking systems
