- Expense Report attachments
- Original configuration and implementation of WCC by AST included the Expense Report attachments in ERP to be moved and saved to WCC so as to not cause the Oracle Database to grow in size and therefore not risk system performance. This scheduled job written by AST has been in place since go Live.
- When we started PDETA Auth (used to be done in WebCenter) and PDETA Expense processes in ERP, we did not do anything with those attachments. They are currently stored in ERP and are not transferred over to WebCenter. We do not currently have the in-source expertise to develop/write the code similar to what AST did to transfer the expense report attachements. We need WebCenter expertise from AST (if we can sole source), or another third party to move the attachments. Also need to project the size/growth of these files between now and ERP cloud migration to assess the risk if we do nothing and wait until then.
- Note: PDETA (Professional Development Authorization Request) is a process/form we submit in ERP to get authorization to travel, attend conferences, join professional memberships, attend school, etc. Workflow approval process routes that to the requestor’s supervisor/manager.

- Original configuration no longer relevant or applicable to current process and org structure in HR/Talent Management. Original configuration – there was only Human Resources and the file/folders/cabinets were configured by AST as such to limit access to sensitive data/PII. Since then, Talent Management has grown to include not just HR, but now Safety, Talent Management, Learning & Development.
- HR Document Scan - Paper files (historical) in HR file room were scanned by 3rd party (BDS) vendor. The goal is to save these documents in appropriate secure location in WebCenter, but would require WCC to be re-configured, the original configuration was done when we implemented WCC (over 10 years) ago and was never fully utilized in Production. Original configuration no longer relevant or applicable to current process and org structure in HR/Talent Management
The documents (historical personnel paper records) scanning project is still ongoing. The scanned documents are currently saved on secure network file folders. The goal is to have these documents uploaded to webcenter where security is enforced by pre-configured AD security groups. But we will need technical help in mass/bulk upload because of the large volume of documents. Otherwise, it will be a daunting manual effort to upload each document types per employee file.
