The Role

This is a broad role designed to support the management and execution of the end-to-end Work Experience, Apprenticeships and T-level programmes within HSBC UK, in line with the Emerging Talent strategy.


The balance of the role will be approximately 75% programme management and internal stakeholder support, 25% external schools and ambassador engagement.


Additional responsibilities can be included to meet the development aspirations of the candidate as we have projects to support across the wider Emerging Talent recruitment and development team/priorities.


What you’ll be doing:

  • Be the first point of contact for apprentices and line managers.
  • Support programme management activity by working with the Early Careers Engagement & Programme Lead and Programme Specialists on ongoing projects to manage events and activities across all programmes.
  • Some contact with ambassadors and schools to support Engagement activity
  • Central inbox query management, being the first PoC for apprentices and line managers.
  • Supporting communications with ambassadors and schools
  • Maintaining accurate records of all apprentices on programme and engagement activities


Key Accountabilities

Work Experience Academy & Business-Led Work Experience:

  • Central inbox query management; being the first PoC for students, schools, ambassadors & work experience placement managers
  • Maintaining accurate records of school engagement, ambassador tracker and work experience placement requests
  • Create and manage communications for a variety of audiences, including school and ambassador newsletters and regularly update workplace
  • Update materials and resources and housekeeping of folders
  • Provide administrative and logistical support for in-person and virtual events and activities


T levels:

  • Maintaining accurate records of students & placements
  • Create and manage communications for a variety of audiences, including Telcel providers, students and placement managers
  • Update materials and resources and housekeeping of folders
  • Provide administrative and logistical support for in-person and virtual events, activities, and briefings
  • Service Now requests, student site access admin and lunch vouchers


Apprenticeships:

  • Central inbox query management, being the first PoC for BAU enquiries from apprentices and line managers
  • Maintaining accurate records of apprenticeship MI and DAS records
  • Create and manage communications for a variety of audiences, i.e. apprentices and line managers via newsletters and Teams channels
  • Update materials and resources and housekeeping of folders
  • Provide administrative and logistical support for in-person and virtual events and activities, including briefings, development sessions, and inductions.
  • Support promotion of apprenticeships to colleagues via comms and events
  • Keep Apprenticeship Hub up to date
  • Help to arrange graduation and awards events
  • Help to arrange National Apprenticeship activities
  • Celebrate success via Workplace and Linkedin, liaising with Comms and Brand teams as appropriate


General:

  • Support creation and maintenance of operational and process manuals
  • Raise POs and track spends against budget
  • Provide administrative support throughout all programme activities
  • Collating information and data requests for Functional Board, Committees and People workstreams
  • Assistance with requesting and collating feedback
  • Support all strategic planning meetings and record minutes and actions


You’ll need to demonstrate:

Must haves

  • Work autonomously and use initiative to undertake a wide range of tasks; asking questions is required
  • Good working knowledge of Microsoft Excel, Outlook and PowerPoint
  • Work as part of a larger team and flex to changing demands and priorities
  • Excellent written and spoken communication skills; an ability to communicate with impact, ensuring information is articulated in a meaningful way to wide and varied audiences
  • Building effective networks across business areas, developing relationships based on mutual trust and encouraging others to do the same
  • Managing a varied and challenging workload and have strong prioritisation skills

Nice to have

  • Experience of working within the Emerging Talent arena
