POSITION SUMMARY:

The American Political Science Association seeks a full-time Program Assistant, Diversity, Equity, and Inclusion to provide administrative and programmatic support to the variety of initiatives related to promoting diversity, equity, and inclusion, mentoring and professional ethics in the discipline of political science. This includes reviewing, collecting and tracking materials required to participate in the fellowship and grant programs, creating and submitting payment requests, and maintaining programmatic databases and information. The Program Assistant also provides marketing and outreach support, including creating content for public-facing platforms and communicating with students, faculty and other members about the programs.


ESSENTIAL FUNCTIONS:

  • Assists with backend processes such as application processing, applicant follow up, collecting and tracking materials including financial documents, enrollment verification letters, headshots and biographies, and submitting payment requests for fellowship and grant awards.
  • Updates diversity and inclusion program alumni information and data in association databases, including enrollment and database maintenance for the DSRP Program, the MSI Faculty List, and the Mentor Program.
  • Responds to routine inquiries and communicates with students, faculty and other members via email, and telephone, as directed, for outreach, marketing and programmatic purposes for a variety of programs. 
  • Drafts content creation for marketing, newsletters and social media posts.  
  • Updates and maintains online resources and program related webpages and microsites.
  • Assists with alumni programming and conference calls.
  • Assists with program’s archival and diversity, equity and inclusion projects and annual meeting preparation.
  • Provides committee support, such as scheduling, collecting, and processing receipts, updating rosters, and travel reimbursement processing.
  • Coordinates with, and assists, other departments (i.e., Finance, Meetings, Publications, Communications) with department related business.
  • Performs other tasks as assigned.


MINIMUM QUALIFICATIONS: EXPERIENCE, KNOWLEDGE, SKILL, AND ABILITY:

  • Bachelor’s degree or equivalent years of experience required; knowledge of political science or other social science preferred.
  • Prior experience in an organizational setting preferred.
  • Demonstrated interest and/or experience working on diversity and inclusion and alumni relations.
  • Experience taking initiative, problem solving, and being flexible.
  • Ability to complete assigned tasks and assignments independently as well as in collaboration with team and across teams.
  • Attention to detail and the ability to prioritize and complete multiple tasks within established deadlines.
  • Strong verbal and written communication skills, including the ability to communicate effectively in a professional, knowledgeable, and friendly manner.
  • Excellent support and interpersonal skills with the ability to provide a high level of customer service to APSA members. 
  • Strong computer and software knowledge with strong proficiency in Microsoft Office Suite; demonstrated experience with social media platforms (e.g., Twitter, Facebook, Slack) preferred.
  • Willingness to travel for conferences and other APSA events.

This job description is subject to change at any time. While performing the duties of this job, the employee is regularly required to communicate and exchange information. The employee frequently is required to remain in a stationary position and constantly operate computers and other office productivity machinery.

  • Generally good working conditions with little or no exposure to extremes in noise or temperature. 
  • Minimal lifting. 
  • Work performed in an office setting.
  • Flexible work schedule and work arrangement (at least 2 days a week in the office).
  • All team members are required to adhere to the APSA vaccination policy.

 Reports to: Program Manager, Diversity, Equity, and Inclusion Programs

COMPENSATION & BENEFITS:

Hourly rate: $26.88-$30.02, which equates to approximately $48,919-$54,634 annually with our 35-hour work week.

FLSA STATUS:

This position is considered non-exempt under the Fair Labor Standards Act and is therefore eligible for overtime pay when applicable.
