About the role

We're a rapidly growing solar services and repair company based in East Tennessee, and we're looking for a sharp, detail-driven Virtual Admin Assistant who can take ownership of customer relations, warranty processing, job documentation, and team coordination. This is a full-time, long-term position for someone who thrives on clear systems, follow-through, and making sure nothing slips through the cracks. Your Core Responsibilities • Handle all customer communication: inbound calls, follow-ups, updates, and scheduling • Manage manufacturer communications, especially warranty processes with vendors like Generac • Submit and track warranty claims, ensuring proper line item documentation and follow-through • Maintain accurate CRM records in Google Workspace, Housecall Pro, and Notion • Oversee technician schedules, monitor job progress, and assist with documentation • Verify that technician notes, job photos, and line items are accurate and complete before jobs are marked done • Support bookkeeping and basic accounting (QuickBooks, Google Sheets) • Help create and update SOPs and internal workflows as the company scales Requirements • Excellent English — written and spoken — and confident handling calls and emails • Experience working in operations, admin, or customer service for a US-based company • Strong working knowledge of Google Workspace (Gmail, Drive, Sheets, Docs, etc.) • Comfortable with tools like Housecall Pro, QuickBooks, Notion, VOIP systems, and Excel • Highly organized, able to manage many moving parts across jobs and people • Detail-oriented, reliable, and good at following instructions • Available full-time (40 hours/week), during US business hours (Eastern Time) Nice-to-Haves (Not Required, but a Plus) • Familiarity with Generac or other solar/warranty manufacturers • Experience supporting home services, solar, HVAC, or construction teams • Prior work with field service CRMs, warranty submission platforms, or technician teams Compensation & Benefits • Monthly pay: $750–$850 USD (depending on experience) • 13th Month pay + performance bonuses • Paid local holidays + flexible time off • Long-term role with growth opportunity • Clear processes, supportive team, and room to lead
