Description of Job Function:
Complete outstanding administrative work for the Certifications department.
Responsibilities:
- Audit and reorganize contractor folders.
- Creating subfolders and systematizing each folder with appropriate files for each standard as directed.
- Ensure basic required documents are present in each auditor’s folder.
- Audit Log (check to ensure audit log includes most recent two years).
- Diploma (translate as needed).
- Resume
- Lead Auditor Certificate
- REC39c (auditors)
- REC51
- REC26, 226, 326 as required/directed for each auditor.
- Witness audit reports (completed with signatures).
- Track and follow up with auditors to ensure they have completed PR1s.
- Completion of training by auditors.
- ISO17065
- Pre-Audit GFSI
- Costco Addendum 2025
- Worker Safety
- PCQI 2.0 (Full Time Auditors), PCQI Contractors
- Update and maintain department distribution lists.
- Handle outstanding sales reminders to auditors to close INTACT or communicate if no expenses are incurred.
- Request non-technical training for auditors as needed or directed.
- Tasks as requested.
Qualifications Required:
Education – High School diploma & 2-year college.
Training & Experience – Two years of experience in an office environment or equivalent education; working knowledge of computer word processing and data entry software and other general office equipment. Previous supervisory experience preferred. Experience with Windows, Microsoft Office products, and CRM is beneficial.
Skills – Excellent spelling, grammar, and communication skills; must be detail oriented.
Additional Requirements:
- Excellent communication skills, especially in managing remote teams and maintaining effective communication via phone and video calls
- Ability to work independently, requiring minimal supervision, while being resourceful and self-motivated
- Ability to maintain confidentiality and handle sensitive information with care
