Role Overview
We are looking for an AI Workflow Automation Specialist to design, implement, and scale intelligent workflow automation across multiple business functions. This role involves analyzing existing manual processes, translating them into AI-powered automated workflows, and continuously optimizing them for efficiency and scalability.
This is a high-impact, cross-functional role that collaborates closely with Research, Operations, Finance, HR, and Marketing teams to identify automation opportunities and implement sustainable AI-driven solutions.
Key Responsibilities
1. Workflow Analysis, Replication & Automation (Core Responsibility)
- Study, document, and map existing business workflows across departments such as Research, Operations, Onboarding, Reporting, Finance, and HR.
- Break down complex processes into structured logic, decision points, and automation-ready workflows.
- Replicate manual workflows using AI tools and automation platforms while preserving business logic and decision accuracy.
- Ensure automated processes consistently deliver reliable, scalable, and high-quality outcomes.
2. Workflow Automation & Optimization
- Identify repetitive, manual, and time-intensive processes suitable for automation.
- Build end-to-end automated workflows using platforms such as Zapier, Make (Integromat), n8n, or similar tools.
- Continuously optimize workflows to reduce turnaround time, improve efficiency, and minimize manual intervention.
- Monitor automation performance and recommend improvements based on operational insights.
3. AI Integration & Use Case Development
Implement AI-powered solutions using technologies such as:
- OpenAI APIs / Large Language Models (LLMs)
- Claude and GPT-based systems
- OCR, NLP, and intelligent document processing tools
Develop automation use cases including:
- Document analysis and summarization
- Automated research and report generation
- Client onboarding and compliance workflows
- Email and communication automation
- Data extraction and validation
- Knowledge management and AI assistants
4. Data Integration & System Connectivity
- Integrate workflows with APIs, databases, CRMs, spreadsheets, and internal systems.
- Automate data movement across multiple platforms while maintaining data integrity.
- Ensure proper validation, error handling, logging, and audit trails within automation workflows.
- Troubleshoot integration issues and maintain workflow reliability.
5. Process Improvement & Performance Optimization
- Analyze existing business processes to identify inefficiencies and automation opportunities.
- Reduce manual dependency while improving speed, accuracy, and scalability.
- Measure automation effectiveness through KPIs such as:
- Time saved
- Error reduction
- Process turnaround time
- Productivity improvements
- Output quality
6. Cross-functional Collaboration & Implementation
- Partner with business stakeholders to understand workflows and operational challenges.
- Translate business requirements into scalable automation solutions.
- Conduct user training and support teams during implementation and adoption.
- Maintain clear documentation for workflows, SOPs, and automation logic.
Key Skills & Requirements
Technical Skills
- Hands-on experience with workflow automation platforms such as Zapier, Make, n8n, or similar tools.
- Strong understanding of workflow mapping, process design, and business process automation.
- Experience working with AI tools and Large Language Models (OpenAI, Claude, Gemini, etc.).
- Basic understanding of APIs, JSON, webhooks, and system integrations.
- Familiarity with spreadsheets, databases, and CRM integrations.
- Experience with prompt engineering is an added advantage.
Analytical & Process Skills
- Strong ability to analyze and deconstruct manual business processes into structured automation logic.
- Excellent problem-solving and analytical thinking skills.
- High attention to detail with a focus on process accuracy and quality.
- Ability to design scalable, reusable automation solutions.

Preferred Qualifications
- Bachelor's degree in engineering, Computer Science, Information Systems, Business, or a related field.
- Experience in FinTech, financial services, consulting, or operations-intensive environments is preferred.
- Exposure to low-code/no-code automation platforms.
- Basic programming knowledge (Python preferred but not mandatory).
- Experience working with AI agents, prompt engineering, or intelligent workflow orchestration is an added advantage.
