Role Summary
The Executive – AFS Operations is responsible for execution, coordination, and closure of Aftersales Service
jobs including service visits, repairs, AMC/PMC activities, and material movement. The role ensures timely
deployment of technicians, accurate job documentation, coordination with commercial and billing teams, and
adherence to safety and quality standards. This position plays a critical role in on-time job completion and
billing readiness.
Education & Skills
- Diploma / Graduate in Mechanical / Electrical Engineering
- 1–3 years of experience in service operations, aftersales service, or site coordination
- Hands-on experience with service workflows including job cards and job card management, preventive and corrective maintenance, and AMC/PMC contract execution
- Proficient in CRM systems for job tracking and closure (e.g., Salesforce, Zoho CRM, or similar ticketing/ERP modules)
- Familiarity with stores and logistics documentation such as GRN (Goods Received Note), delivery challan, dispatch notes, and material movement procedures
- Experience coordinating with commercial/billing teams to ensure billing-ready documentation and zero discrepancies (invoices, acknowledgments, completion certificates)
- Proficient in MS Excel, Outlook, WhatsApp, and basic ERP usage for service operations reporting
- Strong coordination, stakeholder management, problem-solving skills, attention to detail, and discipline
- Basic understanding of safety norms, site protocols, and HSE compliance
Key Responsibilities
- Receive approved Sales Orders (SO) / work instructions from AFS Commercial
- Plan service execution schedules in coordination with clients
- Deploy technicians as per job requirements and skill set
- Ensure technicians report on time to site and start work as scheduled
- Monitor daily job progress and site stat
Technician & Site Coordination
- Allocate manpower, tools, and consumables as required
- Coordinate with stores for spares or material dispatch
- Ensure technicians follow safety procedures and site protocols
- Handle site-level issues and escalate when required
- Approve technician attendance and service completion details
Documentation & Billing Support
- Ensure accurate job card entries (service details, dates, signatures)
- Collect signed job cards, acknowledgments, and completion certificates
- Verify GRNs, delivery challans, and service reports
- Share complete and verified documents with AFS Commercial for billing
- Ensure zero discrepancies in job documentation
CRM Updates & Reporting
- Update job execution status daily in CRM
- Close jobs in CRM post completion with all supporting documents
- Maintain execution tracker (job-wise, technician-wise)
- Report delays, site issues, or client concerns to seniors immediately
- Support audits by providing execution records when required
Stakeholder Coordination
- Coordinate with AFS Commercial for job scope clarification
- Liaise with finance for billing-related clarifications
- Coordinate with safety team for audits or site compliance
- Support client communication regarding service schedules and closures
- Assist seniors in resolving escalated operational issues
Key Performance Indicators (KPIs)
- On-time job execution as per committed schedule
- Zero rework due to operational or documentation errors
- Timely submission of billing-ready documents
- CRM job closure accuracy and timeliness
- Client satisfaction and minimal escalations
