Hiring: Assistant Manager – Administration & Executive Support

The OpportunityWe are seeking a highly organized and proactive Assistant Manager of Administration to join a leading global name in the hospitality sector. This role is a unique blend of high-level facility management and strategic executive support, serving as the backbone of our Gurgaon corporate office.

Key Responsibilities1. Office Administration & Facility Management
- Lead end-to-end office operations to ensure a safe, organized, and employee-friendly workspace.
- Oversee facility maintenance (HVAC, electrical, IT infrastructure) and manage all AMC services.
- Manage office assets, inventory, and workplace safety protocols.
2. Executive Support & Calendar Management
- Provide high-level administrative support to the CEO and CFO.
- Manage complex, conflicting calendars and prioritize high-stakes meetings and appointments.
- Act as a professional liaison between leadership, internal departments, and international teams.
3. Global Travel & Vendor Management
- Coordinate complex domestic and international travel, including visa documentation, forex, and itinerary planning.
- Onboard and manage vendors (housekeeping, security, courier, etc.), negotiating commercial terms to ensure cost-efficiency.
- Track monthly administrative spends against budgets and manage the procurement process (POs/Invoicing).
4. Employee Experience & HR Support
- Plan and execute office events, townhalls, and leadership visits.
- Collaborate with the People Team on onboarding logistics, ID management, and background verifications.
- Supervise pantry operations and housekeeping staff to maintain 5-star hygiene standards.
Mandatory Criteria for SuccessTo be considered for this role, you must meet the following requirements:
- Experience: At least 5 years (7+ preferred) specifically in Office Administration & Facilities.
- Travel Expertise: Proven experience handling international travel, visas, and hotel bookings.
- Leadership Support: Direct experience managing calendars and logistics for CEO/CFO level executives.
- Operational Skills: Strong background in Vendor Management, Procurement, and Cost Control.
- Soft Skills: Exceptional discretion, professional communication, and the ability to handle sensitive information.
