Role Description
Front Office Management
- Manage the reception area and ensure it is clean, organized, and presentable at all times
- Greet and welcome visitors in a professional and courteous manner
- Handle visitor entry, registration, and coordination with concerned departments
2. Call Handling & Communication
- Attend and manage incoming calls, redirecting them to the appropriate departments
- Take accurate messages and ensure timely communication
- Maintain proper call records/logs if required
3. Visitor Coordination
- Inform concerned employees about visitor arrivals
- Issue visitor passes and maintain visitor records
- Ensure adherence to security and safety protocols
4. Administrative Support
- Handle courier dispatch and receipt (inward/outward)
- Maintain records of deliveries, shipments, and office communication
- Assist in basic administrative tasks as assigned
5. Office Coordination
- Coordinate with housekeeping and facility teams to maintain front office standards
- Support meeting room bookings and arrangements
- Assist in event coordination when required
6. Documentation & Record Keeping
- Maintain registers such as visitor log, courier log, and attendance (if applicable)
- Ensure proper filing and documentation
7. Professional Conduct
- Maintain a professional appearance and positive attitude
- Ensure confidentiality of company and visitor information
- Represent the organization with professionalism at all times
Qualifications
- Strong skills in Executive Administrative Assistance and Administrative Assistance to support leadership and organizational goals effectively
- Proficiency in General Administration to manage daily operations and ensure organizational efficiency
- Excellent Communication and Interpersonal Skills to liaise with team members and external stakeholders professionally
- Ability to multitask, prioritize, and maintain attention to detail in a dynamic work environment
- Proficiency in MS Office and experience handling office software and tools
- Prior experience in a similar administrative or executive role is highly advantageous
- Bachelor’s degree in Business Administration, Management, or a related field is preferred
