Role Overview
We are seeking a detail-oriented and proactive Operations, Project Coordination & Administration Professional with experience in Enablement Services to support business operations, project coordination, administrative functions, and stakeholder communication. The ideal candidate will ensure operational efficiency, support project execution, manage administrative activities, and contribute to smooth enablement operations across teams.
Key Responsibilities
Operations Management
- Coordinate day-to-day operational activities and ensure smooth workflow execution.
- Track operational KPIs and prepare periodic reports and dashboards.
- Maintain SOPs, operational trackers, and process documentation.
- Support process improvement and operational excellence initiatives.
- Ensure compliance with organizational policies and standards.
Project Coordination
- Support planning, scheduling, and coordination of multiple projects.
- Track project milestones, deliverables, risks, and dependencies.
- Coordinate meetings, prepare MOMs (Minutes of Meeting), and follow up on action items.
- Work closely with cross-functional teams to ensure timely project execution.
- Maintain project documentation and status trackers.
Administrative Support
- Manage calendars, meeting schedules, and coordination activities.
- Handle documentation, records management, and internal communications.
- Support travel coordination, expense tracking, and vendor coordination when required.
- Assist in preparing presentations, reports, and business correspondence.
- Maintain confidential records and administrative files.
Enablement Services Support
- Assist in onboarding coordination, training schedules, and knowledge management activities.
- Support enablement programs and internal engagement initiatives.
- Coordinate with teams to ensure smooth communication and information flow.
- Help create training materials, process guides, and communication artifacts.
Reporting & Stakeholder Communication
- Prepare weekly/monthly MIS reports and operational summaries.
- Communicate project updates and operational status to stakeholders.
- Escalate risks, blockers, and issues appropriately.
- Ensure timely follow-ups and coordination across departments.
Required Skills & Qualifications
- Bachelor’s degree in Business Administration, Operations, Management, or related field.
- 2–5 years of experience in operations, project coordination, administration, or enablement services.
- Strong organizational, coordination, and multitasking skills.
- Excellent verbal and written communication abilities.
- Proficiency in:
- MS Office Suite (Excel, PowerPoint, Word, Outlook)
- Project management and collaboration tools
- Reporting and documentation management
- Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
- Experience in PMO, business operations, or corporate administration.
- Exposure to project management methodologies (Agile/Scrum/Waterfall).
- Certification in project coordination or administration is an added advantage.
- Experience working with cross-functional or global teams.
