Role Objective:
To ensure smooth daily operations by managing order processing, vendor coordination, dispatch tracking, customer communication and office administration maintaining professionalism and timely execution.
Key Responsibilities
1. Order Processing & Dispatch Coordination
Process customer sales orders received via email/WhatsApp
Maintain order records & follow up for payments
Coordinate with production and packing teams
Share dispatch details and tracking information with customers
Maintain dispatch and order tracking sheets for offline stores
2. Vendor Coordination & Purchase Management
Coordinate with existing vendors for raw materials and packaging
Obtain quotations and compare rates to negotiate
Follow up for timely delivery of materials
Identify and communicate with new vendors when required
Maintain purchase records and stock tracking
3. Customer Communication
Respond to B2B customer queries in a timely and professional manner
Share product details, price lists, MOQ and dispatch timelines
Follow up for payments politely and professionally
Maintain updated client database
Part of the Exhibition team
4. Office Administration
Maintain inventory tracking
Coordinate courier dispatches
Manage basic office documentation and filing
Support management with coordination and follow-up
Required Skills
Good English communication (spoken & written)
Basic knowledge of MS Excel and email drafting
Organized and detail-oriented
Ability to handle multiple tasks simultaneously
Vendor coordination and follow-up skills
Confident and presentable personality
Co -ordinate with E com platforms like Amazon, Flipkart for discount sheets, pricing and promotions
Ideal Candidate Profile
Graduate (Commerce preferred)
1–3 years of experience in operations, back-office, purchase, admin or coordination roles
Freshers with strong communication skills and high energy may also apply
Smart, energetic, quick learner and proactive
Go-getter attitude with ownership mindset
Comfortable working in a fast-paced small team environment
