Role Overview
We are looking for an experienced Procurement, Admin & Facilities Sr. Executive to independently manage end-to-end procurement operations and day-to-day administration and facilities across multiple office locations. The role requires a hands-on professional who can balance vendor negotiation and cost efficiency with smooth office operations, statutory compliance, and team oversight in a fast-paced IT company environment.
Key Responsibilities
Procurement
- Manage the end-to-end procurement cycle — raising requisitions, floating RFQs, vendor evaluation, and Purchase Order (PO) approvals.
- Lead vendor negotiations and finalize commercial terms and conditions to ensure cost efficiency without compromising service quality.
- Prepare procurement justifications, cost-benefit analyses, and savings reports for management review.
- Negotiate and manage Annual Rate Contracts (ARCs) with vendors (e.g., hotels, travel, facility service providers).
- Track procurement OKRs, cost-saving targets, and vendor performance metrics.
- Coordinate with Finance on vendor invoice processing, budget tracking, and payment approvals.
- Draft and maintain SOPs and process documentation for procurement workflows.
Admin & Facilities
- Oversee day-to-day administrative operations across all office locations, ensuring smooth and uninterrupted business operations.
- Manage and monitor outsourced facility teams — security, housekeeping, pantry, and M&E (mechanical & electrical) technicians — including attendance, performance, and service quality.
- Ensure timely upkeep and maintenance of office infrastructure, and coordinate with vendors for repairs, AMCs, and statutory compliance (fire safety, electrical safety, etc.).
- Manage employee-facing admin services such as petty cash, travel and accommodation bookings, transport/shuttle services, and insurance coordination.
- Own and continuously improve admin SOPs, guidelines, and escalation processes.
- Act as the key point of contact for audits, inspections, and facility-related escalations.
- Support new office setups, seating/space planning, and vendor onboarding as the company scales.
Required Skills & Qualifications
- Bachelor's degree in Business Administration or a related field; MBA preferred.
- 5–7 years of experience in procurement, administration, and facilities management, preferably within an IT/corporate environment.
- Proven vendor negotiation, contract management, and cost-optimization skills.
- Experience managing multi-location office operations and cross-functional vendor teams (security, housekeeping, M&E).
- Strong working knowledge of MS Excel, Word, and PowerPoint; exposure to procurement/ERP tools is a plus.
- Excellent stakeholder management, communication, and organizational skills.
- Ability to work independently, prioritize across multiple sites, and handle escalations calmly under pressure.
Preferred Qualifications
- Prior experience in a fast-growing IT/technology company.
- Exposure to statutory compliance requirements related to office facilities (fire safety, electrical safety certifications, etc.).
- Experience setting up or scaling admin/facilities processes for a growing office footprint.
