Job Title: Admin Executive – Factory Administration & Facilities
Location: Vadodara (Waghodia), Gujarat
Experience: 3–5 Years in Factory/Manufacturing Administration

About the Role
We are looking for a proactive and organized Admin Executive to manage and coordinate all administrative functions at our manufacturing facility. The role requires hands-on management of housekeeping, security, travel arrangements, vendor coordination, facility upkeep, and overall plant administration to ensure smooth day-to-day operations.
Key Responsibilities
Facility & General Administration
- Oversee overall administration of the factory premises and office facilities.
- Ensure proper maintenance and upkeep of buildings, utilities, common areas, and infrastructure.
- Coordinate office supplies, stationery, pantry, and administrative purchases.
- Manage employee transportation, accommodation, and travel arrangements as required.
Housekeeping & Facility Management
- Supervise housekeeping staff and contractors to maintain cleanliness and hygiene standards across the plant.
- Ensure compliance with company standards for workplace cleanliness and maintenance.
- Monitor consumables and housekeeping materials inventory.
Security Management
- Coordinate with security agencies and supervise security personnel.
- Ensure proper visitor management, gate control, and employee entry-exit processes.
- Monitor security systems, access control, and adherence to security protocols.
Vendor & Contractor Management
- Identify, onboard, and manage vendors for facility-related services.
- Obtain quotations, negotiate rates, issue work orders, and monitor service quality.
- Track vendor performance and ensure timely payments through coordination with accounts.
Garden & Premises Maintenance
- Supervise gardening and landscaping activities.
- Ensure upkeep of green areas, outdoor spaces, and factory surroundings.
- Coordinate maintenance activities for aesthetic and safety requirements.
Asset & Administrative Records Management
- Maintain records related to administrative expenses, contracts, AMC agreements, and service providers.
- Monitor administrative budgets and cost optimization initiatives.
- Maintain inventory of administrative assets and equipment.
Compliance & Support
- Support statutory, safety, and audit requirements related to administration.
- Coordinate with internal departments and external agencies for smooth operations.
- Handle any other administrative responsibilities assigned by management.
Desired Candidate Profile
- Graduate in any discipline;
- 3–5 years of experience in administration within a manufacturing plant, factory, or industrial environment.
- Experience managing housekeeping, security, facility maintenance, and vendors.
- Strong vendor management and negotiation skills.
- Good knowledge of MS Office (Excel, Word, PowerPoint).
- Ability to handle multiple responsibilities and work independently.
- Strong communication, coordination, and problem-solving skills.
