Roles and Responsibilities
- Provide direct administrative support to the Admin Manager and the CEO, including managing communication, responding to calls, and handling emails professionally.
- Manage end-to-end travel bookings (flights, hotels, and ground transport) for the specified teams, who travel frequently for client engagements.
- Plan and execute internal and external events through the year — including offsites, team gatherings, conferences, and client events — managing vendor identification, negotiation, onboarding, and on-ground coordination.
- Handle procurement, dispatch, and tracking of business-related items, along with proper documentation, across multiple accounts and locations — including client deliveries, employee shipments, marketing collateral, and office supplies.
- Support the Human Resources team by assisting with new employee onboarding and offboarding logistics, and by maintaining attendance and leave records.
- Coordinate with external vendors for facility repairs, Annual Maintenance Contracts (AMCs), and utility services.
- Be open to travel as required to handle coordination across multiple office locations.
- Undertake any other tasks or duties as assigned by the management from time to time.
What We're Looking For
- Bachelor's degree in any discipline; 0–1 year of experience (internships in administration, operations, or hospitality are a plus).
- Strong organizational skills with the ability to juggle multiple priorities and deadlines without losing track.
- Good written and verbal communication skills in English and Hindi.
- Confidence and professionalism when dealing with vendors, external partners, and senior employees.
- A negotiation mindset — comfortable pushing for better rates or terms.
- Working knowledge of MS Office and Google Workspace (Excel/Sheets in particular).
- A proactive, problem-solving attitude and a strong sense of ownership.
- High attention to detail, especially with bookings, budgets, and shipments.
- Discretion in handling sensitive information (travel costs, employee details, vendor contracts).
