Role Description

This is a full-time on-site role for an Administrative Assistant located in Mumbai. The Administrative Assistant will manage day-to-day administrative tasks, provide clerical and executive support, and handle professional communication. Responsibilities include scheduling, maintaining records, coordinating meetings, managing phone calls, and providing support in the effective functioning of the office.

Administration role in the EV industry entails overseeing the day-to- day operational functions of the organization while ensuring the effective management of resources, processes and communication across departments. The role is responsible for aligning administration practices with company objectives, ensuring smooth workflows and driving operational excellence in the rapidly growing EV sector. 


Responsibilities


Operational Management:

1. Oversee and coordinate daily administrative operations to ensure efficiency. 2. Develop and implement policies and procedures for improved administrative processes. 3. Ensure timely management of documentation and records, in compliance with industry regulations.


Resource and Facility Management:

1. Supervise office facilities, ensuring they are well-maintained, sustainable, and meet employees' needs. 2. Coordinate office maintenance and manage vendor relationships for essential services. 3. Implement sustainable practices in line with company’s environmental objectives.


Team Leadership & Coordination:

1. Manage, mentor and guide administrative staff for continuous improvement. 2. Collaborate across departments to ensure smooth coordination and collaboration. 3. Drive integration of new technologies and tools to optimize operational efficiencies.


Budget and Cost Control:

1. Develop and manage the department’s annual budget, ensuring alignment with financial goals. 2. Monitor expenses and identify opportunities for cost-saving without sacrificing operational effectiveness. 3. Justify and document all administrative expenses in line with company policies.


Internal Communication:

1. Act as a liaison between senior management and other departments to ensure smooth communication. 2. Organize internal meetings and executive briefings. 3. Prepare reports and presentations on the performance and activities of the administration department.


Data Management & Reporting:

1. Oversee the collection, analysis, and reporting of key administrative data (resource utilization, budget adherence). 2. Provide insights and recommendations to improve administrative functions and overall productivity.


Project Management:

1. Assist in implementing project plans, timelines, and budgets to achieve administrative objectives. 2. Track project progress, identify and mitigate risks, and take corrective action to ensure timely completion. 3. Liaise with internal stakeholders and external stakeholders to ensure project requirements are met. 


Qualifications & Experience

  • Strong skills in Administrative Assistance and Executive Administrative Assistance
  • Proficiency in Clerical Skills, including organization and documentation
  • Excellent Phone Etiquette and professional Communication skills
  • Ability to handle sensitive and confidential information responsibly
  • Proficiency with office software such as Microsoft Office Suite and other administrative tools
  • Prior experience in an administrative or support role is preferred
  • Bachelor’s degree in Business Administration, Office Management, or a related field is an advantage
  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Master’s degree is a plus.
  • Relevant certifications in administration will be an advantage. 
  • 5-8 years of experience in administration management.
  • Proven track record of successfully managing teams and coordinating cross-departmental operations.
  • Experience in managing budgets, resources, and facilities.
  • Familiarity with sustainability practices and environmental compliance is desirable.
