Job Description
Key Responsibilities
Admissions Support
- Assist in tracking admission enquiries (online, phone, walk-in).
- Maintain PRF records and update admission data in the school system.
- Coordinate with admission coordinators to schedule assessments and campus visits.
- Assist in preparing admission offer letters and maintaining student files.
- Ensure student data and required documents are properly filed and updated.
Front Office Operations
- Welcome parents, students, and visitors in a professional and courteous manner.
- Maintain visitor records and coordinate appointments with relevant staff.
- Handle phone calls and redirect queries to appropriate departments.
- Maintain reception area and ensure a positive first impression of the school.
Student Data Management
- Maintain and update student records in the school management system.
- Track student contact details, documentation, and TC records.
- Assist in issuing ID cards, bonafide certificates, and other documents.
Administrative Coordination
- Assist in coordinating transport requests, uniform distribution, and student materials.
- Support communication between parents and school departments.
- Help prepare and circulate school notices, circulars, and emails.
Accounts & Fee Follow-up Support
- Assist with fee collection records and coordinate with accounts for payment verification.
- Track fee pending lists and support follow-up communication.
Event and Operational Support
- Assist in organizing school events, field trips, and activities.
- Support logistics coordination with departments such as transport, food services, and facilities.
Facility & Campus Support
- Monitor cleanliness and maintenance concerns and report to the administration manager.
- Assist in coordinating housekeeping, security, and facility requests.
Key Performance Indicators (KPIs)
- Accurate maintenance of student records and administrative documentation.
- Timely response and coordination of parent queries through front office or system logs.
- Efficient tracking of admission enquiries and documentation.
- Smooth coordination for school operations, events, and administrative tasks.
- Timely support in fee follow-ups and operational communication.
