Administrative Assistant
Key Responsibilities
1. Calendar & Schedule Management
* Manage and coordinate complex calendars, including scheduling internal meetings, client consultations, and personal appointments.
* Proactively resolve scheduling conflicts and ensure all meeting participants have the necessary links, documents, and agendas in advance.
* Send timely reminders and follow-ups to ensure the daily schedule runs smoothly.
2. Workflow & Task Coordination
* Monitor project timelines and daily tasks to ensure the team meets all deadlines.
* Use project management tools (e.g., Trello, Asana, or Monday.com) to track progress and update task statuses.
* Assist in organizing digital files, documents, and internal databases to maintain a "clutter-free" work environment.
3. Customer Communication
* Serve as the primary point of contact for customer inquiries via email, phone, or chat.
* Provide clear, helpful, and professional responses to routine questions and provide status updates on requests.
* Draft, proofread, and send professional correspondence (emails, letters, and announcements) on behalf of the company.
Required Skills & Qualifications
* Technical Proficiency: High level of comfort with Google Workspace (Calendar, Drive, Docs) or Microsoft 365. Experience with CRM or scheduling software is a plus.
* Communication: Exceptional written and verbal English skills, with a keen eye for tone and grammar.
* Organization: A natural ability to multitask and prioritize work based on urgency and importance.
* Discretion: Ability to handle sensitive business and client information with absolute confidentiality.
