Job Title - Admin Lead & EA to MD
Location - Mumbai
Reporting to Managing Director, BSC (India) LLP

Primary Job Purpose
- To ensure the smooth and efficient day-to-day management of administrative functions, general (internal and external) coordination, data protection and overseeing all aspects of office administration. Where necessary, the role also provides personal administrative assistance to the Managing Director (India) as required
Brief Description of Tasks
1. Administration Lead Responsibilities
a) General Administration & Office Operations
- Own and manage the overall administrative functions for the India business, ensuring smooth day-to-day office operations.
- Coordinate with the managed office provider, vendors, and facility teams for office maintenance, upkeep, and operational requirements.
- Manage office assets, inventory, supplies, and IT consumables, ensuring accurate tracking and availability.
b) Vendor, Finance & Shared Services Coordination
- Manage vendor relationships and procurement coordination in line with company policies.
- Support finance administration, including vendor invoice review, payment coordination, and maintaining relevant records.
- Liaise with Shared Services and internal teams to ensure timely processing of administrative transactions.
c) Operational Logistics & Employee Support
- Coordinate couriers, deliveries, and business material dispatch for the India business.
- Support employee office requirements, including onboarding arrangements, workstation readiness, and visitor access management.
- Coordinate office engagement activities, internal events, and related administrative arrangements.
d) Governance, Compliance & Administration Processes
- Support data protection administration and documentation in coordination with the Group Data Protection Officer.
- Maintain administrative records, documentation, and asset registers in line with BSC governance standards.
- Ensure compliance with health, safety, and office-related procedures, including coordination of drills and safety checks.
2. Executive Assistant Responsibilities
a) Executive & Leadership Coordination
- Manage the Managing Director’s calendar, meeting prioritisation, travel planning, and coordination of leadership meetings, while supporting follow-ups on key action items across internal stakeholders.
- Liaise with department heads, UK leadership, and external stakeholders to consolidate updates and ensure timely and professional communication.
b) Strategic & Administrative Support to the MD’s Office
- Provide administrative and coordination support for leadership reviews, internal discussions, and visits by UK colleagues, board members, or senior stakeholders, while maintaining strict confidentiality in handling sensitive information and documentation.
- Proactively volunteer to support and deliver short-term or time-bound strategic projects assigned by the MD’s office, as opportunities to learn, contribute, and support organisational priorities.
Health and Safety
To take reasonable care for the health and safety of yourself and of other persons who may be affected by your acts or omissions at work; and to cooperate with British Safety Council so far as is necessary to enable it to ensure the health, safety and welfare at work of all its employees.
To ensure that risk assessments are carried out in line with British Safety Council’s procedures and report any issues to the Health and Safety Representative.
Skills & Qualifications
Essential

Able to work independently with little support along with working with a wider team

Excellent communication skills, both verbal and written
Able to work well under pressure and to strict deadlines
Desirable
Proficient in Microsoft Office (Working knowledge of Microsoft Office)
Experience
3-5 years’ experience of an administrative & EA role
