Important:

  • This is not a standard admin role.
  • The position requires experience in facility management and infrastructure operations, including managing building systems, vendor services, safety compliance, and maintenance of critical office infrastructure.


Core knowledge expected:


  • Working knowledge of HVAC systems, DG sets, UPS, elevators, and electrical infrastructure
  • Understanding of statutory compliances, NOCs, and facility-related certifications
  • Experience managing vendors, AMCs, and maintenance schedules
  • Ability to oversee preventive maintenance and facility audits
  • Experience handling corporate office infrastructure operations


 Responsibilities include, but are not limited to


1. Facility & Infrastructure Management


  • Ensure all facilities comply with safety regulations, hygiene standards, and statutory requirements.
  • Oversee preventive and corrective maintenance of HVAC systems, chillers, DG sets, UPS units, elevators, fire safety systems, electrical infrastructure, CCTV, and access control systems.
  • Track and ensure timely renewal of licenses, statutory certificates, and NOCs, including fire, electrical, and structural clearances.
  • Conduct regular facility audits & proactive maintenance and inspections to maintain operational efficiency, safety, and visual appeal of the workplace.
  • Coordinate with vendors, service providers, and internal teams for timely repairs, maintenance schedules, and equipment upgrades.
  • Keep maintenance logs and report on daily activities


 2. Administrative Operations


Housekeeping Management

  • Supervise administrative teams and outsourced housekeeping staff.
  • Delegate cleaning and maintenance roaster for allotted responsibilities to team members
  • Ensure all cleaning and dusting tasks are completed before office hours begin. Conduct daily inspections to maintain high standards of cleanliness.
  • Monitor staff punctuality, attendance, and task completion.
  • Address internal issues and foster a disciplined, service-oriented culture.
  • Ensure adherence to health and safety standards in all housekeeping activities.


Vendor & Contract Management

  • Identify, onboard, and manage vendors and service providers.
  • Oversee vendor performance, contracts, payments, and renewals.


Finance & Compliance

  • Track administrative expenses and ensure they stay within budget.
  • Verify and process vendor bills for timely submission to the Finance department.


Events & Coordination

  • Plan and coordinate logistics for internal events, training sessions, and meetings.
  • Collaborate with HR, Admin, and Operations for seamless execution and resource sharing.


Note: Occasional local travel within the NCR region may be required.


Candidate Profile

  • 8-10 years of experience in

→    facility management - overseeing facility maintenance and upkeep.

→    office management/administration, preferably in a large corporate setting

  • Diploma or equivalent from a reputed institution.
  • Well-groomed and professionally attired, presenting a polished and confident appearance.
  • Knowledge of HVAC and other building systems.Hands-on experience with office machines and heavy equipment.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications.
  • Contract handling experience
  • Quick to adapt, capable of multitasking and prioritizing to meet deadlines.
  • Possesses a personal network of vendors and can identify new vendors as required.
  • Must have own vehicle and be comfortable driving within Delhi NCR to fulfil administrative duties.
  • Works well under pressure and maintains composure in challenging situations and work independently without need for constant follow-ups


Should have a proven, stable work history—candidates with frequent job changes or short tenures may not be considered.

  • Interview process requires attendance at Head Office in Delhi
