Manager – Administration

Preferred due to strong discipline, leadership, security management, crisis handling, operational coordination, and administrative control experience.
Job Purpose
To manage overall plant and corporate administration activities including security management, facility management, transport, housekeeping, canteen, liaisoning, vendor management, discipline, statutory administration, and infrastructure maintenance ensuring smooth and efficient business operations in the manufacturing environment.
Key Roles & Responsibilities
1. Plant Administration Management
- Oversee day-to-day administrative operations of plant and office premises.
- Ensure smooth functioning of all administrative services.
- Maintain discipline, operational control, and workplace decorum across the plant.
- Coordinate with all departments for administrative support requirements.
2. Security Management
- Manage complete plant security operations and surveillance systems.
- Supervise security personnel deployment and gate management.
- Ensure proper visitor management and vehicle movement control.
- Conduct security audits, risk assessments, and emergency preparedness drills.
- Prevent unauthorized access, theft, pilferage, and security breaches.
- Coordinate incident investigations and reporting.
3. Facility & Infrastructure Management
- Manage maintenance of office buildings, plant infrastructure, utilities, and common areas.
- Ensure cleanliness, upkeep, and operational readiness of facilities.
- Monitor civil, electrical, plumbing, and maintenance activities.
- Coordinate AMC (Annual Maintenance Contract) activities.
- Ensure availability of essential utilities and support services.
4. Transport & Fleet Management
- Manage company vehicles, transportation arrangements, and logistics coordination.
- Monitor vehicle utilization, maintenance schedules, fuel consumption, and driver discipline.
- Ensure compliance with transport safety norms and documentation.
5. Housekeeping & Canteen Management
- Supervise housekeeping activities across plant and office premises.
- Ensure hygienic and quality food services in canteen operations.
- Monitor vendor performance for housekeeping and canteen services.
- Ensure compliance with health, hygiene, and safety standards.
6. Vendor & Contract Management
- Handle administration-related vendors and service contracts.
- Negotiate service agreements and monitor SLA compliance.
- Process vendor evaluations and cost optimization initiatives.
- Ensure timely renewal of agreements and licenses.
7. Liaisoning & Government Coordination
- Liaison with local government authorities, police, fire department, municipal authorities, electricity board, and other agencies.
- Coordinate statutory approvals, inspections, and licenses.
- Support management during government visits and compliance audits.
8. Health, Safety & Emergency Management
- Support implementation of EHS and safety protocols.
- Coordinate fire safety systems, mock drills, and emergency response plans.
- Ensure readiness for crisis management and disaster handling.
- Promote safety awareness and discipline among employees.
9. Employee Discipline & Administration Control
- Maintain workplace discipline and enforce administrative policies.
- Handle employee movement, visitor control, and access systems.
- Support HR in disciplinary investigations and incident handling.
- Monitor adherence to company rules and code of conduct.
10. Budgeting & Cost Control
- Prepare and manage administration department budget.
- Monitor administrative expenses and cost optimization initiatives.
- Ensure effective utilization of company resources and assets.
