The Administration Executive is responsible for ensuring smooth day-to-day office operations, managing administrative tasks, coordinating with internal teams, and maintaining an efficient workplace environment.
Key Responsibilities
Office Administration
- Oversee daily office operations and ensure a well-organized and professional workspace.
- Manage office supplies, inventory, and procurement of materials and equipment.
- Maintain office facilities, coordinate repairs, and liaise with vendors.
Administrative Support
- Provide administrative support to management and other departments.
- Prepare reports, presentations, letters, and documentation as required.
- Handle scheduling, calendar management, meetings, and travel arrangements.
Records & Documentation
- Maintain accurate and up-to-date records, databases, and filing systems (digital and physical).
- Assist in preparing and organizing internal documents, contracts, and compliance materials.
Communication & Coordination
- Act as a point of contact between departments, employees, external partners, and clients.
- Handle incoming calls, emails, and correspondence professionally.
- Assist in planning company events, meetings, and staff activities.
Experience, Skills & Competencies
- Bachelor's degree in business administration or related field
- Proven experience in administrative or office management roles
- Strong organizational and multitasking skills
- Good communication and interpersonal abilities
- Proficiency in MS Office (Word, Excel, PowerPoint)
- Attention to detail and problem-solving skills
- Ability to work independently and as part of a team
