About The Role
House of EdTech is looking for a proactive and detail-oriented
Admin Lead to oversee administrative, facilities, and workplace operations across our growing network of office locations.
The Admin Lead will act as the backbone of day-to-day operations, ensuring every office functions smoothly, assets are managed efficiently, vendor relationships remain strong, and employees have a productive and well-maintained work environment.
The ideal candidate will have experience working in fast-paced environments such as BPOs, large EdTech organizations, or corporate offices, and should be comfortable managing multiple stakeholders, vendors, and teams simultaneously.
Key Responsibilities
Office Maintenance & Housekeeping
- Oversee daily cleanliness and upkeep across all office locations.
- Manage housekeeping staff schedules, performance, and vendor SLAs.
- Conduct regular facility inspections and ensure timely resolution of issues.
- Coordinate preventive maintenance for electrical, plumbing, HVAC, and civil infrastructure.
Asset Management
- Maintain a centralized asset register covering laptops, desktops, SIM cards, headsets, and peripherals.
- Track asset allocation, transfers, returns, and disposals across locations.
- Coordinate with HR and IT teams for onboarding and offboarding asset requirements.
- Conduct periodic physical audits and reconciliations.
- Ensure timely procurement, tagging, warranty tracking, and replacement planning.
SIM & Telecom Management
- Manage the complete lifecycle of SIM cards, including issuance, tracking, and deactivation.
- Coordinate with telecom service providers regarding plans, billing, escalations, and renewals.
- Maintain accurate records of SIM assignments linked to employees and departments.
- Analyze telecom usage and optimize costs through plan reviews and negotiations.
Rental Agreements & Property Management
- Manage lease agreements across all office locations.
- Track renewals, rent escalations, notice periods, and exit clauses.
- Liaise with landlords, property managers, legal teams, and external stakeholders.
- Maintain documentation for lease agreements, NDAs, MoUs, utility contracts, and approvals.
- Support office expansion by identifying and onboarding new office spaces.
- Oversee fit-outs, interiors, infrastructure upgrades, and refurbishments.
Security Management
- Oversee physical security operations across all office premises.
- Manage security staff deployment, attendance, and shift scheduling.
- Ensure proper functioning of CCTV systems, visitor management processes, and access controls.
- Conduct regular security audits and implement corrective measures.
- Coordinate with security agencies and ensure compliance with contractual obligations.
Team Leadership
- Lead and manage a cross-functional administration team, including housekeeping, security, and facility staff.
- Establish performance standards and key performance indicators (KPIs).
- Conduct performance reviews and drive accountability.
- Foster a culture of ownership, responsiveness, and operational excellence.
- Coordinate administrative readiness for new office launches and expansions.
Vendor & Procurement Management
- Identify, onboard, and manage vendors across facilities, housekeeping, security, and office supplies.
- Negotiate contracts and ensure cost-effective procurement practices.
- Monitor vendor performance against service-level agreements (SLAs).
- Drive vendor renewals, replacements, and performance improvements where required.
- Process purchase orders, invoices, and budget utilization reports.
Compliance & Documentation
- Ensure all offices remain compliant with fire safety regulations, labor laws, and statutory requirements.
- Maintain records of licenses, NOCs, Shop & Establishment registrations, and regulatory filings.
- Prepare and present monthly MIS reports covering:
- Administrative expenditure
- Asset utilization and status
- Facility performance and health metrics
What We're Looking For
Required Qualifications
- 2-3 years of hands-on experience in Administration, Facilities Management, or Operations Management.
- Proven experience handling multi-site operations, preferably in BPO, EdTech, or corporate environments.
- Prior experience leading teams of 10+ members across multiple locations.
- Strong vendor management and negotiation skills.
- Excellent organizational and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong communication and stakeholder management skills.
