Role Overview & Key Responsibilities:
We are looking for an Admin & Infrastructure Manager who will ensure that PadCare’s offices, facilities, systems, and IT infrastructure run seamlessly as the company scales. This is not a routine admin role.
You will be responsible for building the operational backbone of the company — managing infrastructure, facilities, assets, and IT systems so teams can focus on execution.
Over time, this role will grow into Head of Admin / Workplace Infrastructure as PadCare expands.
Workplace & Facility Management
- Manage day-to-day office operations and facilities
- Coordinate vendors for housekeeping, security, maintenance, and utilities
- Ensure a well-functioning, safe, and productive workplace
Infrastructure & Office Setup
- Support setup of new offices, operational spaces, or warehouses
- Manage procurement of office infrastructure, furniture, and equipment
- Create systems and SOPs for scalable office operations
IT & Systems Management
- Manage laptops, IT assets, and employee access to systems
- Coordinate with external IT vendors for troubleshooting and maintenance
- Ensure smooth IT onboarding and offboarding for employees
Asset & Inventory Management
- Maintain a structured asset registry (laptops, equipment, devices)
- Track asset allocation, repairs, and lifecycle management
- Establish and manage systems for vehicle fleet safety, insurance, incident management, and operational risk as the organization’s logistics footprint grows.
Vendor & Cost Management
- Build and manage vendor relationships
- Negotiate contracts and optimize costs
- Track and manage admin budgets
What We’re Looking For:
Experience
- 6-10 years in Admin, Facilities, Workplace Operations, or Infrastructure roles
- Experience managing office infrastructure and vendors
- Startup or high-growth company experience is a plus
Skills & Traits
- Highly organized and detail oriented
- Strong problem-solving ability
- Vendor management and negotiation skills
- Ability to build processes from scratch
- Comfortable working in a fast-moving environment
