About the Role
We are looking for an experienced person to manage the Admin & Finance responsibility for the Gujarat state program.
Role Description
- Ensure at least 3 vendors are available for key products and services in Gujarat state where QA has activities and operations.
- Ensure new vendors registration is completed as per the process
- Make arrangement for vendor empanelment and ensure that we have all vendors signed in for different process wherever required
- Maintaining a database of various vendors
- Process procurement of goods as per the request and following the policy and process
- Ensure booking of local travel and accommodations for staffs and consultants
- Ensure logistics are arranged for all events including training and workshops
- Ensure that the office is being maintained and kept in order
- Ensure that the school kits are ready and reach the partners as per the schedule to ensure timely implementation at school level
- Develop and sustain the relationship with the third parties for office cleaning/ maintenance/ security
- Develop and sustain relationships with hotels/ training centers for delivering program training
- Maintain effective coordination with all vendors by fostering strong relationships with key stakeholders.
- Ensure the key staff at the state and district office have a clear understanding of the processes and support them as required
- Ensure all the vendors bills are received on time as per the accounting requirements.
- Ensure the state office asset inventory is updated and in sync with the org level Fixed Asset regist er
Hands on with the sector/ Knowledge of the job
- Understand Finance and Admin policy and process related to procurement, travel, contract.
Reporting
- Taking ownership of the relevant work and being available for performance review and periodic meetings
- Being available to respond to the request of the FA team.
- Participating actively in the FA planning and review meetings and team meeting
Adherence to systems and processes
- Adhere to all the finance and HR policies of the organization
- Uphold the values of Quest Alliance
Requirements
Required Skills:
- A graduate with Minimum 2 - 5 years of work experience, in NGO sector in admin role.
- Strong communication skills in English both written and verbal. Knowledge of Hindi and other regional languages is a bonus
- Expert Microsoft Office Suite user
- Good organisational skills
- Experience in office admin management
