Role Description:
To contribute to the attainment of the company’s business objectives by:
1. Front Office Management:
- Manage front office staff so that they provide general support to visitors; actively manage guests in reception when notified by the employees of their arrival.
- Monitor phone calls and emails are handled well by staff.
- Manage courier and other company related documents or parcel.
- Schedule, print Meeting Room appointments.
2. Office Administration:
- Monitoring Day to Day administration functions
- Maintaining monthly MIS for Invoice and bills.
- Managing petty cash and procurement of housekeeping, stationery & Pantry or any items required for office well in advance.
- Coordinating & scheduling appointments & organizing associated facilities.
- Supervising and monitoring housekeeping daily work.
- Service Provider Contracts and documents are aligned as per company requirements.
- Support the HR team in all employee engagement activities.
- Supervising maintenance of registers for outgoing & incoming couriers.
- Any additional task assigned by line manager to support HR & Admin team.
- Sourcing vendors and managing for cost reduction in supplies if required.
- Manage end to end operation with the Facility Management Team
3. Employee Engagement:
- Sending timely mailers on various occasions to team members.
- Supporting arrangement of townhall, seminars, webinars and any new initiative introduced by management.
4. Records & MIS:
- Maintaining & regularly updating off role Employee records under strict confidential conditions.
- Supporting in strong data management of contractual employees, filling & scanning of necessary documents.
- Following up with contractual employees and vendor on filling missing documents.
- Tracking renewal of dept related agreement or policy associated with company.
- Supporting in sending month end report to line manager and concerned teams.
- Coordinating with Finance for any pending payments.
- Timely follow-ups with all day-to-day activity.
5. Travel Management:
- Vendor Coordination - Liaise with travel desk or concerned agencies, hotels, and transport providers for best rates and service.
- Support in Itinerary Management - facilitate bookings for flights, hotels, transport, and visa arrangements for employees or guests.
- Policy Enforcement - Ensure all travel complies with company guidelines, approvals and budget limits.
- Emergency Support – Provide Support during travel disruptions or emergencies
- Invoices & MIS - Coordinate with vendors for monthly invoices, supporting documents and share with HR for payments, timely update MIS and respective trackers.
6. Compliance:
- Ensuring the brand credibility is not compromised & adhering to the guidelines shared by the team
7. Field Visits:
- Support HR Manager in any administrative / field task given with taking ownership.
Educational Qualification:
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- MBA or PGDM is preferred but not mandatory.
- Additional certifications in Administration, Facilities Management, Vendor Management, or Office Management are an advantage.
Experience:
- 5–7 years of experience in Administration, Facilities, Office Management, or Corporate Services.
- Experience handling vendor management, office operations, travel arrangements, facility maintenance, asset management, and employee support services.
- Exposure to budgeting, invoice processing, and compliance-related activities.
- Experience coordinating with multiple stakeholders and service providers.
