About the role

Job Description

To efficiently execute and manage the daily activities pertaining specifically to the Chairman’s office and be the single point of contact (SPOC) for all his requirements.

Roles + Responsibilities

Official

  • Organizing the Calendar by fixing Appointments and Meetings as necessary on Daily/Weekly/Monthly basis.
  • Preparing Daily Notes and Minutes of the Meetings as required.
  • Managing Emails, Telephones and all communication and drafting letters, emails and messages as required.
  • Preparing and organizing reports, presentations, lists and data.
  • Assisting with all technology related things – emails, messages, virtual calls, Whatsapp and other applications.
  • Liasoning with Government Departments, Vendors and Agencies.
  • Act as a the SPOC (Single point of contact) for the MD, coordinating with Visitors, Clients, Company executives, employees and external partners.

Guest Management & Hospitality

  • End to end management of Guests/ Visitors with planning for their logistics, accommodation and hospitality.
  • Gifting – finding and coordinating requirements for flowers, hampers, giveaways and other gifts.
  • Maintaining a list of preferred vendors across categories and cities.

Travel & Medical

  • Handle travel related tasks and documentation, and making travel arrangements and bookings.
  • Coordinating with travel agents and airport authorities as required.
  • Handle medical documentation and file reports in a systematic manner.
  • Coordinating with hospitals to organize visits as required and follow-up based on medical requirements.

Other

  • To coordinate with other departments to ensure daily requirements related to food and beverage, chauffer, and housekeeping are in place.
  • To complete errands as required at the office and home.

Note – the candidate will be required to accompany the MD in outside office meetings, social events, and select travel also.

Requirements

The candidate must have the following:

  • Preferred candidate to be a male
  • Minimum Graduate degree
  • 7+ years’ experience in a similar role
  • Confident personality and a pleasing disposition
  • Excellent written and verbal communication skills
  • Flexible, smart with strong analytical and presentation skills
  • Execution oriented with timely delivery
  • Professional & Courteous
  • Good Documentation Skills
  • Good Computer Skills

Languages known - English, Hindi and Kannada
