Accounts Payable (AP) Executive – Job Description
Job Title: Accounts Payable Executive / Accounts Payable Specialist
Department: Finance & Accounts
Reports To: Finance Manager / Accounts Manager
Job Summary
The Accounts Payable Executive is responsible for managing the company's outgoing payments, processing vendor invoices, maintaining accurate financial records, and ensuring timely payments while complying with company policies and accounting standards.
Key Responsibilities
- Process and verify supplier/vendor invoices and payment requests.
- Match invoices with purchase orders and goods received notes.
- Prepare and process payments through bank transfers, checks, or other payment methods.
- Reconcile vendor statements and resolve invoice discrepancies.
- Maintain accurate accounts payable records and documentation.
- Monitor payment due dates to avoid late fees and maintain positive vendor relationships.
- Assist in month-end and year-end closing activities.
- Ensure compliance with company policies, tax regulations, and accounting standards.
- Respond to vendor inquiries regarding payments and account balances.
- Generate AP reports, aging reports, and other financial reports as required.
- Support audits by providing relevant documentation and records.
Required Qualifications
- Bachelor's degree in Accounting, Finance, Commerce, or a related field.
- 1–3 years of experience in Accounts Payable or General Accounting.
- Knowledge of accounting principles and financial processes.
- Proficiency in Microsoft Excel and accounting/ERP software (e.g., SAP, Oracle, Tally, NetSuite).
- Strong attention to detail and accuracy.
- Good analytical, organizational, and communication skills.
Preferred Skills
- Experience with invoice processing and vendor management.
- Knowledge of GST/VAT and withholding tax regulations.
- Ability to work under deadlines and manage multiple tasks.
- Strong problem-solving and reconciliation skills.
