Accounts Executive — Tally & Records
Group Finance & Compliance
Reports to: Senior Accountant / Head of Finance
Location: Mumbai | On-site
Function: Group Finance & Compliance
Band: Execution role — accounting entries and records maintenance
Role Summary
This role is the backbone of the group's day-to-day books: passing accurate accounting entries in Tally Prime
and maintaining clean, reconciled records in Excel. You will handle voucher entry across all transaction types,
keep ledgers and registers up to date, and ensure every entry is supported, correctly classified, and ready for
review. The role is judged on accuracy, timeliness, and a discipline of self-checking before anything is handed
forward.
Key Responsibilities
Accounting Entries in Tally Prime
• Pass daily vouchers across all types: Purchase, Sales, Payment, Receipt, Contra, Journal, and Debit / Credit
Notes.
• Book vendor bills with correct ledger grouping, GST bifurcation (CGST/SGST/IGST), and TDS deduction at
the applicable section and rate.
• Record sales invoices, credit/debit notes for returns and rate differences, and reconcile against the sales
register.
• Process payment and receipt entries with correct bank/cash ledger, narration, and instrument details.
• Pass month-end journal entries: provisions, prepaid and accrual adjustments, depreciation, and expense
reclassifications.
• Create and maintain ledgers under the correct groups; apply cost centres / cost categories where required
for entity- or project-wise tracking.
• Maintain accurate narrations and bill-wise references so every entry is traceable back to its supporting
document.
Excel Records & Reconciliations
• Maintain core registers in Excel: purchase register, sales register, expense tracker, and TDS working sheets.
• Keep receivables and payables outstanding / ageing schedules current and reconciled to Tally.
• Perform bank reconciliation — books vs statement — and clear open items promptly.
• Run vendor and ledger reconciliations; investigate and resolve mismatches before close.
• Prepare GSTR-2B vs books reconciliation working and flag missing or mismatched invoices.
• Use Excel efficiently — XLOOKUP/VLOOKUP, SUMIFS, Pivot Tables, and error-checking formulas — to crossverify Tally data against registers.
Documentation & Support
• File and maintain supporting documents (bills, challans, bank advices) with a clear, auditable trail.
• Maintain audit schedules and provide entry-level backup during statutory and internal audits.
• Support the senior team in month-end and year-end closure within the defined calendar.
• Follow SOPs consistently and escalate anything unusual rather than force-fitting an entry.
Requirements
• B.Com / M.Com.
• 1–3 years of hands-on Tally accounting experience, preferably in a multi-entity environment.
• Working knowledge of GST and TDS entry fundamentals.
• Comfort with high-volume, detail-heavy data entry without loss of accuracy.
Technical Skills
• Tally Prime — all voucher types, ledger and group creation, cost centres, bank reconciliation.
• Advanced Excel — XLOOKUP/VLOOKUP, SUMIFS, Pivot Tables, and reconciliation / error-checking formulas.
• Familiarity with the GST Portal and TRACES is a plus.
What We Value
• Accuracy: self-verifies every entry and reconciliation before it moves forward.
• Consistency: keeps registers and ledgers current, not batched at the last minute.
• Ownership: treats the books as their own and flags issues early.
Success in the First 6 Months
• All voucher entries passed accurately and on time, with clean narrations and bill-wise references.
• Registers and reconciliations kept current and tied out to Tally every period.
• Zero entry-level errors surfacing in review or audit; supporting documents always in place.
