We are looking for a detail-oriented Accounts & Finance Executive with 3–5 years of experience to manage the day-to-day financial operations of the company. The ideal candidate will be responsible for maintaining accurate financial records, managing invoicing and payments, coordinating with the company’s Chartered Accountant, and ensuring smooth financial administration across departments.
This role is critical in maintaining financial discipline and supporting the growth of a fast-moving specialty coffee business.
Key Responsibilities:
Sales & Billing Management- Generate and manage sales invoices, estimates, quotations, and proforma invoices for B2B and B2C clients.
- Maintain accurate billing records across all sales channels including wholesale, retail, and online.
- Ensure proper documentation and reconciliation of all sales transactions.
- Track outstanding receivables and follow up with clients for timely collections.
Purchase & Vendor Accounting- Record and track purchase invoices, vendor bills, and expense documentation.
- Maintain vendor ledgers and ensure timely processing of payments.
- Monitor procurement expenses and maintain accurate purchase records for inventory and operational requirements.
Payments & Receivables- Track all incoming payments from customers and reconcile them with issued invoices.
- Maintain records of bank transactions, payment gateways, and cash receipts.
- Monitor outstanding dues and coordinate with the sales team for recovery when required.
Accounting & Bookkeeping- Maintain journal entries, ledgers, and day-to-day accounting records.
- Ensure accurate bookkeeping using accounting software (such as Tally or similar platforms).
- Conduct periodic reconciliation of bank accounts, vendor ledgers, and customer accounts.
Compliance & CA Coordination- Liaise with the Chartered Accountant for statutory filings, GST compliance, audits, and financial reporting.
- Provide all necessary documentation and financial data required for tax filings and regulatory compliance.
- Ensure proper documentation and organisation of financial records.
Financial Tracking & Reporting- Maintain detailed financial records and generate periodic reports related to:
- Sales performance
- Receivables and payables
- Expense tracking
- Financial summaries for management review
- Support management with data required for decision-making and financial planning.
Operational Financial Support- Assist with budgeting and expense monitoring across departments.
- Maintain organised financial documentation and digital records.
- Support internal teams with financial clarifications related to invoices, payments, and vendor transactions.
Requirements:- 3–5 years of experience in accounting, finance, or a similar role.
- Strong knowledge of accounting principles, bookkeeping, and financial documentation.
- Experience with Tally, Zoho Books, or similar accounting software.
- Good understanding of GST compliance and statutory accounting practices.
- Strong attention to detail and organisational skills.
- Ability to manage multiple financial processes simultaneously.
- Proficiency in Excel or Google Sheets for financial tracking and reporting.
Preferred Qualities:- Experience working with SMEs, manufacturing units, or FMCG businesses.
- Comfortable working in a fast-paced, growing company environment.
- Strong communication skills for coordinating with internal teams, vendors, and accountants.
