We are seeking a detail-oriented
Accounting & Payroll Specialist to support our
US and Canadian operations from our Hyderabad office. This role involves
end-to-end bookkeeping, invoicing, accounts receivable follow-ups, payroll processing, and onboarding support, aligned with a
monthly payroll cycle.
This position requires working
full-time from our Hyderabad office during US Eastern Standard Time (EST) hours.
The ideal candidate must have experience in the
US IT Consulting or IT Staffing industry, with strong knowledge of
QuickBooks Online, ADP payroll, and timesheet-based billing.
Key Responsibilities - Accounting & Bookkeeping (QuickBooks Online)
- Maintain accurate financial records in QuickBooks Online (QBO)
- Perform bank and credit card reconciliations
- Record journal entries, expenses, and revenue transactions
- Assist with monthly close and reporting activities
- Invoicing & Accounts Receivable
- Generate client invoices based on approved timesheets
- Ensure invoices include all supporting documentation
- Maintain invoice trackers and billing schedules
- Perform AR follow-ups and collections with clients/vendors
- Monitor aging reports and escalate overdue payments
- Payroll Processing (ADP – Monthly Cycle)
- Process monthly payroll through ADP (US & Canada)
- Validate timesheets, pay rates, and payroll inputs
- Handle new hire onboarding in ADP, including employee setup
- Coordinate payroll inputs with HR/operations teams
- Support payroll reports, deductions, and reconciliations
- HR Operations & Onboarding Support
- Draft and issue:
- Offer letters
- Employment verification letters
- Experience/relieving letters
- Support onboarding/offboarding of consultants
- Maintain employee records for compliance and audit
- Coordinate background verification activities (if required)
- Contracts & Compliance Support
- Review MSA, PO, and vendor agreements for:
- Payment terms
- Billing cycles
- Key commercial terms
- Flag risks or discrepancies to management (non-legal review)
- Maintain contract repository and track key terms
- Operations & Reporting
- Maintain trackers for:
- Invoices and collections
- Payroll summaries
- Consultant billing and margins
- Support audit, tax, and compliance documentation
- Identify opportunities for process improvements and automation
Required Qualifications - Bachelor’s degree in Accounting, Finance, or related field
- 3–6+ years of experience in US IT Consulting / IT Staffing (mandatory)
- Hands-on experience with:
- QuickBooks Online
- ADP Payroll (US payroll required; Canada is a plus)
- Experience in:
- Timesheet-based invoicing
- AR collections
- Payroll processing (monthly preferred)
- Drafting employment-related documents
Preferred Qualifications
- Experience supporting US and Canadian operations
- Exposure to MSA/PO review
- Familiarity with Ceipal, Zoho, or similar ATS tools
- Knowledge of multi-currency accounting (USD/CAD)
