We are looking for a detail-oriented and proactive Bookkeeper to manage day-to-day accounting operations for our USA-based business. The ideal candidate should have hands-on experience with QuickBooks Online, Shopify reconciliation, inventory-based accounting, and U.S. bookkeeping standards.
The role requires strong organizational skills, accuracy, ownership, and the ability to work independently while coordinating closely with our internal team.
Core Responsibilities
Daily / Weekly Bookkeeping
- Maintain accurate books in QuickBooks Online
- Record and categorize all transactions correctly
- Manage accounts payable and accounts receivable
- Perform bank and credit card reconciliations
- Reconcile Shopify payouts, PayPal, and other payment gateways
- Ensure sales, refunds, chargebacks, discounts, and fees are recorded accurately
- Maintain organized accounting records and supporting documentation
Shopify & Multi-Channel Ecommerce Accounting
- Reconcile Shopify, Amazon, TikTok Shop, Faire, wholesale, and other ecommerce platform sales with payouts and bank deposits
- Ensure all sales channels are accurately recorded in QuickBooks Online
- Track returns, refunds, exchanges, gift cards, chargebacks, and store credits
- Reconcile payment processor fees, commissions, marketplace fees, and merchant charges
- Coordinate inventory/accounting adjustments where required
- Understand sales tax implications for ecommerce and marketplace transactions
- Review discrepancies between sales channels, inventory systems, payouts, and QuickBooks
- Maintain clean reconciliation across all ecommerce platforms and bank accounts
Financial Reporting
- Prepare monthly Profit & Loss statements
- Prepare Balance Sheet and Cash Flow reports
- Share weekly/monthly financial summaries and variance observations
- Monitor outstanding receivables and payables
- Assist with budgeting and cash flow planning
Coordination & Compliance
- Coordinate with our USA-CPA/CFO weekly
- Maintain accurate records for audits and financial reviews
- Ensure books are updated and month-end closed on time
- Maintain confidentiality of all financial information
Required Skills & Experience
Technical Requirements
- Strong experience with QuickBooks Online (mandatory)
- Experience handling Shopify/ecommerce bookkeeping (mandatory)
- Understanding of U.S. accounting/bookkeeping practices
- Experience with Shopify and Amazon Seller Central, and related ecommerce platforms
- Experience with payment gateways such as Shopify Payments, Stripe, PayPal, Amazon Pay, etc
- Strong Excel / Google Sheets skills
- Ability to manage high transaction volumes accurately
- Understanding of inventory accounting preferred
- Experience with multi-channel ecommerce accounting preferred
Preferred Experience
- Experience working with U.S.-based ecommerce brands
- Experience with inventory-heavy businesses
- Strong familiarity with Amazon and retail bookkeeping preferred
