Overview
We are looking for someone who can manage responsibilities across Account Executive, and Project Management functions and supporting CEO in day to day work.
Experience in Web development and digital marketing company would be a significant advantage.
You will act as a central organiser and doer across a small, fast-moving agency. The role is broad by design. You will be contributing to client work, project coordination and support the CEO in day-to-day agency operations.
If you need rigid boundaries or a narrow remit, this will not suit you. Using ClaudeAI in conjunction with the CEO to execute and manage workload.
Key Responsibilities
Client and Account Support
- Support client-facing work, including emails, updates and coordination
- Assist with account management and day-to-day client communication
- Organising and coordinating meetings, representing the CEO when not available in client correspondence and generally
- Design, build and contribute to proposals, pitch decks and presentation materials
- Join client calls where needed and ensure actions are captured and progressed
Project and Delivery Support
- Help plan and coordinate projects across the team
- Track tasks, timelines and dependencies to keep work moving
- Work closely with delivery and leadership to ensure priorities are clear
- Step in to unblock issues and keep the momentum
Agency Operations
- Act as an organiser across the agency, connecting people and workstreams
- Support general operational tasks as required in a small team environment
- Take ownership of “things that need doing” without waiting to be asked
Skills and Experience
- Strong written and spoken English, confident with clients and senior stakeholders
- Experience in a digital agency or marketing environment
- Solid project management and organisational skills
- Comfortable building decks, writing emails and structuring information clearly
- Able to manage multiple priorities without dropping details
- Confident enough to challenge and direct when needed, including the CEO
Approach and Mindset

- Comfortable working across a wide range of tasks, from strategic to admin
- Not precious about role boundaries, willing to roll your sleeves up
- Calm under pressure, able to bring structure to complicated or ambiguous situations

CEO and PA Support
- Manage the CEO’s diary, prioritising time effectively and proactively
- Act as a gatekeeper and organiser for internal and external meetings
- Prepare agendas, structure discussions and ensure clear follow-ups
- Prompt and guide the CEO on priorities, deadlines and commitments
Tools and Ways of Working
- Confident using AI tools to improve speed and quality of output
- Comfortable working across common agency tools and platforms
- Able to quickly pick up new systems and processes
Reporting Line
- Reports directly to the CEO
Other Details
- Full-time role
- This role requires strong alignment with UK working hours. Candidates should be comfortable working predominantly within UK business hours to support the CEO and client interactions.
