Position Overview

The Program Coordinator will support the organization's grant programs by coordinating program activities, managing grantee relationships, and ensuring efficient program operations. Working closely with the Managing Director of Programs, this role will serve as the central point of coordination for grant management processes, stakeholder communications, and program administration.


The ideal candidate will be an experienced project manager who can oversee multiple grant programs simultaneously, working collaboratively with team members to coordinate and streamline program operations, logistics, reporting, and communication.

 

Responsibilities

The Program Coordinator will play a key role in the following areas:


Grant Application and Reporting Management

  • Manage the grant application and reporting portal, providing technical assistance to applicants and grantees as needed. 
  • Coordinate the internal review of grant applications and reports, including scheduling and communications for applicant and grantee interviews
  • Track reporting deadlines and send communications to applicants and grantees
  • Maintain grant database with status updates, evaluation scores, and follow up actions
  • Track implementation timelines, milestone achievement, and required deliverables throughout the grant period; follow up with grantees as needed to ensure timely submission of all reporting documents


Communications & Stakeholder Relations

  • Maintain relationships with grantees and facilitate ongoing communication with grantees and other stakeholders in service of Accelerate’s mission, grant programs, and research learning agendas
  • Coordinate resolution of grantee implementation challenges or barriers that arise during the grant period 
  • Prepare program updates and progress reports for internal and external (e.g., funder documents, board presentations) reporting
  • Collaborate with grantees on public-facing materials and case studies (e.g., Mathematica syntheses [link])
  • Manage follow-up actions and deliverable deadlines for all grant programs, the Community of Practice, and the annual convening


Community of Practice (CoP) Coordination and Support

  • Coordinate and execute the logistics for the CoP, including but not limited to maintaining the membership database, sending invitations to sessions, creating session materials, meeting room management, follow-up communications and tracking attendance and engagement. 
  • Coordinate with internal cross-team content leads for session preparation, and manage internal and external speaker logistics
  • Support the MD of Programs to maintain content alignment with Accelerate's broader policy, research, and implementation goals
  • Compile feedback on content value and relevance on each session, and make recommendations for future sessions
  • Assist with annual in-person convening logistics


Administrative Support

  • Schedule and manage meeting agendas with grantees and logistics (e.g., breakout room management, exit surveys) for video and conference calls
  • Maintain and organize program documentation (e.g., application collateral, grant agreements, reporting) and file management systems (e.g., grant management portal [Temelio], Google drive, Monday.com)
  • Support the MD of Programs with cross-cohort analysis and insight development for the field
  • Assist with continuous improvement of grant programs and management to ensure we are streamlining and optimizing reporting and progress monitoring processes
  • Assist with travel arrangements and logistics for on-site visits with grantees


Qualifications

  • Bachelor's degree in education, public administration, nonprofit management, business administration, communications, public policy, or related discipline
  • Prior experience in K-12 education, grant management, program coordination, or nonprofit administration preferred
  • Project management experience, able to manage multiple projects and deadlines simultaneously
  • Highly organized with the ability to interpret and follow complex guidelines and instructions
  • Experience with grant application processes, reporting requirements, or compliance tracking
  • Proficiency with database management or project management systems
  • Strong writer, with attention to detail and experience preparing reports for diverse audiences
  • Clear record of successfully accomplishing tasks in a fast-paced environment
  • Proven ability to swiftly and creatively find solutions to tough problems
  • Exceptional ability to communicate with others, including experience facilitating meetings and managing stakeholder relationships
  • Experience coordinating events, webinars, or community of practice activities preferred
  • Authentic desire and willingness to listen to, learn from, and connect with a diverse range of people with varied interests and experiences, including students, families, educators, policymakers, local leaders, and funders

Compensation

The annual salary range for this position is between $60,000 and $80,000.

Working conditions

This is a fully-remote position, with some travel required.
