About the University and the Role

The University of Aberdeen will open its Mumbai campus in Powai in September 2026. At launch, it will offer six programmes: four-year undergraduate degrees in Computing, Data Science, Economics, and Business Management, along with one-year master’s degrees in Artificial Intelligence and Business Administration.
The Academic, Operations & Student Affairs Coordinator supports day-to-day academic administration, student services, and campus operations to ensure a smooth, student-centered experience. The role coordinates timetables, examinations, student records, and frontline student support while partnering with faculty and admin teams to deliver efficient, high-quality services.
Key Responsibilities
Academic Administration
- Coordinate semester timetables, room allocations, and faculty schedules in collaboration with academic teams.
- Support assessment logistics: exam scheduling, invigilation rosters, grade submissions, and results publishing.
- Maintain accurate student records (enrolment, attendance, progression, leaves/deferrals), ensuring data integrity and confidentiality.
- Assist with onboarding/orientation for new students and academic calendar communications.
Student Affairs & Experience
- Serve as a first point of contact at the student helpdesk; triage queries and route complex cases appropriately.
- Support student engagement activities—clubs, events, orientation, and volunteering—working with student leaders and societies.
- Assist with welfare/discipline workflows (case logging, meeting scheduling, documentation) with sensitivity and discretion.
- Coordinate referrals to counselling/academic support as per established protocols.
Operations & Coordination
- Liaise with facilities, IT, and security to resolve classroom/campus issues quickly.
- Track service requests, maintain ticket/issue logs, and follow up to closure; escalate risks proactively.
- Draft and circulate notices, handbooks, and operating procedures; keep portals and dashboards updated.
- Support vendor coordination for events and student services (printing, logistics, transport, supplies).
Compliance, Data & Reporting
- Ensure adherence to university policies, assessment regulations, data privacy, and student conduct guidelines.
- Prepare weekly/monthly reports (attendance, service SLAs, event participation, query resolution, exam ops).
- Maintain checklists and SOPs; contribute to process improvements and digitisation initiatives.
Qualifications & Experience
- Bachelor’s degree in any discipline (Education/Management/Social Sciences preferred).
- 2+ years of experience in academic administration, student services, or operations—preferably in higher education.
- Hands-on experience with student information systems/LMS, timetabling, or service desk tools is an advantage.
