Position Summary
The Customer Service Representative supports the sales team with aging, claims, and document requests (passings, signed BOL, and invoices). This position ensures that our customers receive their invoices accurately and timely through monitoring sales orders that have shipped and working closely with the sales team. The role is essential to support organizational goals and model best practices, guided by our values of Excellence, Accountability, Transparency and Stewardship (EATS).
Job Duties and Responsibilities
· Processes a high volume of invoices and processes statements twice a month.
· Monitors accounts receivable on all accounts and follows up with past due invoices.
· Informs sales team of any discrepancies on invoicing.
· Assists with problem solving accounts receivable issues (i.e. deductions, short payments, and overpayments).
· Scans documents to shared file.
· Supports sales team with shipping fruit samples.
· Provides documentation requested by sales team or customers.
· Requests set-up of new customers and vendors.
· Updates and maintains a variety of spreadsheets.
· Processes accounts payable related to sales order.
· Supports sales team with preparing claim packets.
· Monitors portals regarding communication on disputes and accounts receivable.
· Assists with closing all pools.
· Requests credit limit increases for sales team.
· Communicates with shipping department about shipments errors, broken pallets, missing charge codes.
· Receives and checks customer complaints.
· Prepares shipping documents such as export papers and commercial invoices.
· Maintains customers information file.
· Orders office supplies for sales department.
· Performs other duties as assigned.
Requirements

· Knowledge of citrus sales.
· Knowledge of basic accounting such as accounts receivable and accounts payable.

· Ability to answer, screen and direct phone calls to the appropriate department.
· Ability to navigate through various customer access portals as well as company’s software
· system.

Preferred Qualifications
· Associate degree or equivalent course of study
· 1+ year of office experience or related field orientation
· Proficient computer skills with Microsoft 365 (Outlook, Excel, Word)
· Experience with Famous Software, preferred
Working Conditions & Physical Requirements
This position is performed in an office setting and involves prolonged sitting, computer use, and repetitive hand and wrist movements. Work may include occasional walking, standing, or light lifting up to 20 pounds. The environment is quiet to moderate in noise with minimal exposure to environmental hazards. Extended hours and Saturday work may be required.
