Description
We are seeking a detail-oriented and reliable Payroll Processor to join our Finance team. In this role, you will manage the full payroll cycle for employees across multiple states, ensuring accuracy, compliance, and timeliness. This is a part-time position (15–20 hours per week).
Key Responsibilities
- Process bi-weekly payroll accurately and on schedule for all employees across multiple geographic locations
- Manage the full payroll cycle, including timesheet collection, validation, and submission
- Ensure all timesheets are reviewed, corrected, and approved before payroll deadlines
- Communicate proactively with managers and staff regarding payroll timelines and outstanding approvals
- Audit timesheet data for accuracy (hours worked, service codes, classifications) and resolve discrepancies
- Process payroll adjustments, corrections, and off-cycle payments as needed
- Maintain payroll records in compliance with federal, state, and company requirements
- Administer wage garnishments
- Process and reconcile 401(k) contributions and coordinate with plan administrators
- Ensure accurate multi-state payroll tax withholding and reporting
- Assist with year-end activities, including W-2 preparation and distribution
- Collaborate with Human Resources to ensure accurate employee data and status updates
- Support the Finance team in maintaining payroll procedures and documentation
- Participate in staff meetings and assist with payroll-related mail distribution
Requirements
Required Qualifications:
- Bachelor’s degree in Accounting, Business, or a related field (or equivalent experience)
- Minimum of 2 years of payroll processing experience, preferably in a multi-state environment
- Experience with payroll systems (e.g., Paylocity, ADP, Paychex, or similar)
- Working knowledge of federal and multi-state payroll tax regulations
- Proficiency in Microsoft Excel or Google Sheets, including data reconciliation and validation
Preferred Qualifications:
- Experience with Paylocity
- Experience with ABA or healthcare-related systems and billing structures
- Familiarity with service-code-based time tracking
- Experience managing 401(k) contributions and plan coordination
- CPP (Certified Payroll Professional) certification or in progress

Work Environment & Schedule

- Schedule: Tuesday through Thursday, minimum of 5 hours per day

Physical Requirements

- Occasional lifting of up to 25 lbs
- Ability to perform tasks such as filing, bending, and reaching
- Regular communication and visual focus required
